Unit Secretary, Acute Care of the Elderly

Department: KH-4 NORTHWEST

Operating Unit: Kent Hospital

Shift: Evenings

Schedule: 3:00pm - 11:00pm EOW/EOH

Primary Function

Responsible for viewing and processing physician orders in the electronic medical record, transcribing physician orders when needed, maintaining bed management records, accessing lab results, performing receptionist and clerical duties, and coordinating non-nursing services within the unit.

Responsibilities
  1. Initiate, assemble, and maintain accurate medical records for all patients. View and process physician orders in the electronic medical record. Transcribe written physician orders during downtime, and complete all necessary forms, requisitions, and communications to implement orders and record data. Follow up to obtain missing information.
  2. Maintain inventory of paper forms needed for continuous service, ensure a safe and clean working environment, and manage form updates and storage.
  3. Greet and assist visitors, screen calls, answer call buttons, process mail, relay patient information, and answer inquiries related to departmental procedures and policies.
  4. Prepare medical records upon patient discharge, copy records, and obtain discs for transfers/discharges.
  5. Maintain patient census both manually and electronically.
  6. Assist with report access and retrieval as needed.
  7. File documents systematically, keeping medical records neat and orderly.
  8. Attend daily interdisciplinary discharge rounds and keep logs of potential discharges.
  9. Retrieve and manage reports such as the Advanced Directive List, Discharge Flag Report, and overdue lab specimen report.
  10. Float as needed to cover open unit secretary areas and print lab slips during downtime.
  11. Order, track, and file equipment paperwork.
  12. Orient new staff members to the role and responsibilities of the unit secretary.
  13. Communicate pertinent patient care and general information to nursing staff.
  14. Perform all other related duties as assigned.
Job Qualifications and Requirements

High School diploma and at least one year of relevant experience or equivalent. Basic computer skills and knowledge of medical terminology are required.
