Job Purpose
To provide a professional, client-focused service on matters relating to UK Visas and Immigration (UKVI) duties. Responsible for the planning, coordination, liaison, and administrative implementation of all UKVI related activities and initiatives.
Main Duties and Responsibilities
- First Point of Contact: Provide advice and guidance on UKVI policy, legislation, and procedures. Liaise with staff at all levels via face-to-face, telephone, or written communication. Offer detailed advice on UKVI processes and compliance to resolve issues and support all parties, ensuring high-quality service. Respond promptly to UKVI inquiries.
- Knowledge Maintenance: Maintain thorough understanding of policies, issues, and legislation related to staff immigration categories to provide accurate information.
- Employee Lifecycle Management: Ensure timely processing of UKVI-related employee documentation, update the Core/HR Payroll System with visa expiry/renewal dates, and notify the Home Office of contractual changes as needed.
- Visa Processing: Collaborate with P&OD Teams to ensure visa processing is completed before expiry and support resolution of immigration issues with managers and employees.
- Senior Support: Identify matters requiring senior UKVI Hub input, provide background information, briefings, and draft responses for approval to facilitate timely processing.
- System Use: Serve as a Level 1 user of the Home Office’s Sponsor Management System (SMS).
- Record Keeping: Maintain accurate electronic files in accordance with Data Protection/GDPR and Home Office guidelines, ensuring information is organized and retrievable.
- Reporting: Generate and action HR system reports for stakeholders.
- Knowledge Development: Develop expertise in the Core/HR Payroll System to support visa compliance.
- Administrative Support: Provide high-standard administrative assistance for the UKVI Hub daily operations.
- Policy Support: Assist in establishing and monitoring immigration and visa policies and procedures.
- Networking: Maintain effective relationships with P&OD teams across the University to support shared best practices.
- Additional Duties: Perform other relevant tasks as assigned by line management.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential: Ability to demonstrate competencies for this role, or Scottish Credit and Qualification Framework level 7 or equivalent, with experience. Up-to-date knowledge of UKVI legislation and best practices.
Desirable: Knowledge of University policies, CIPD membership or HR degree, and related professional development.
Skills
Essential: Excellent communication, interpersonal skills, tact, discretion, and assertiveness. Strong written English, attention to detail, time management, and organizational skills. Ability to clearly communicate UKVI policies, high initiative, analytical skills, and team support capability.
Experience
Essential: Experience in HR or Immigration roles, customer and staff engagement, data analysis, HR/Payroll systems, and Microsoft Office.
Desirable: Experience in higher education and UKVI SMS system usage.
Terms and Conditions
Salary: Grade 5, £25,138 - £29,605 per annum. Full-time (35 hours/week), open-ended.
