Job description

Job Title: UKVI Immigration Advisor

Purpose of the Role

To deliver professional, client-focused services related to UK Visas and Immigration (UKVI) duties. Responsible for planning, coordinating, liaising, and implementing all UKVI-related activities and initiatives.

Main Responsibilities

  1. Serve as the first point of contact, providing advice on UKVI policy, legislation, and procedures. Liaise with staff at all levels via face-to-face, telephone, or written communication. Ensure timely and appropriate responses to UKVI inquiries, maintaining high service standards.
  2. Maintain up-to-date knowledge of policies, issues, and legislation concerning staff immigration categories to provide accurate information.
  3. Process UKVI-related employee lifecycle requirements promptly, update the Core/HR Payroll System with visa expiry and renewal dates, and notify the Home Office of contractual changes as needed.
  4. Coordinate with P&OD Teams to ensure visa processing before expiry and resolve any immigration issues in collaboration with managers and employees.
  5. Identify cases requiring senior UKVI Hub input, prepare background information, briefings, and draft responses for approval to facilitate timely processing.
  6. Use the Home Office’s Sponsor Management System (SMS) Level 1 effectively.
  7. Maintain accurate electronic files in accordance with Data Protection/GDPR and Home Office guidelines, ensuring easy retrieval and proper management.
  8. Generate and manage HR system reports for stakeholders, supporting data analysis and reporting needs.
  9. Develop knowledge of the Core/HR Payroll System to support visa compliance processes.
  10. Provide high-standard administrative support to the UKVI Hub daily operations.
  11. Assist in establishing and monitoring policies and procedures related to immigration and visas.
  12. Build and maintain effective networks with P&OD teams across the University to promote best practices.
  13. Perform other duties within the scope of the role as assigned by the line manager after consultation.

Knowledge, Qualifications, Skills, and Experience

Essential:

  • Demonstrated competencies equivalent to the duties of this level, with relevant experience or qualifications such as Scottish Credit and Qualification Framework level 7 or higher.
  • Updated knowledge of UKVI legislation and best practices.
  • Excellent verbal and written communication skills, tact, diplomacy, discretion, and assertiveness.
  • Strong attention to detail, organizational skills, and the ability to prioritize effectively.
  • Ability to clearly communicate UKVI policies and procedures to diverse audiences.
  • High initiative, sound judgment, and analytical skills, especially in managing contractual and financial data.
  • Effective team support skills.

Experience:

  • Relevant experience in HR or immigration roles, dealing with a wide range of stakeholders.
  • Experience in data extraction, manipulation, and analysis.
  • Proficiency with HR/Payroll systems and Microsoft Office applications.

Terms and Conditions

Salary: Grade 5, £25,138 - £29,605 per annum. Full-time (35 hours/week), open-ended contract.
