About the role

We’re hiring an Executive Assistant to the VP Northern Europe! If you’re organized, proactive, and thrive managing complex schedules across multiple time zones, this role is for you. You’ll be the primary point of contact for internal and external stakeholders, providing dedicated one-to-one support, coordinating meetings and events, and assisting the senior leadership team with key projects. Join us to play a vital role in driving smooth operations and effective communication at the leadership level.

Responsibilities include:

  • Being the point of contact for executives, employees, clients, and external partners.
  • Managing and filtering communications, prioritizing conflicting needs.
  • Handling high-priority matters proactively and efficiently.
  • Working on deadline-driven projects to successful completion.
  • Managing the VP’s schedule, appointments, and meetings.
  • Arranging complex domestic and international travel plans, including flights, trains, taxis, hotels, and venues.
  • Coordinating meeting agendas, creating management/client packs, and presentations.
  • Performing various administrative tasks, including formatting information for internal and external communication, handling sensitive information, and digital filing.
  • Handling confidential information with discretion.
  • Consolidating expenses and processing them on the company portal.
  • Using the HR system to approve holidays and liaising with HR as needed.
  • Taking detailed minutes during meetings.
  • Performing any other ad hoc tasks as required.
Qualifications and Experience | About You

The ideal Executive Assistant:

  • Has experience working as an EA to a senior executive within a global organization.
  • Is experienced in complex international diary management and multi-point travel planning.
  • Possesses strong organizational, time management, and multitasking skills.
  • Has excellent written and verbal English communication skills.
  • Is proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Has strong interpersonal skills and can support the wider executive team independently.
  • Is flexible and adaptable to changing priorities.
  • Can handle sensitive and confidential information discreetly.

Preferred skills include additional languages such as French or German.
