Job description
Overview

The position is a Group role with requirements to work at both Northampton General Hospital NHS Trust and Kettering General Hospital NHS Foundation Trust. The Volunteer Services across the University Hospitals of Northamptonshire is a challenging and changing environment. As an Administrative Officer, you will have excellent communication and interpersonal skills, the ability to multi-task, and you will support our volunteers and staff.

Responsibilities
  • Manage the volunteer rota-s (desks/guides/buggy/runners/response) to ensure volunteers support patients throughout the hospital.
  • Act as the point of contact for routine enquiries to Volunteer Services, using judgement and decision making to ensure satisfactory outcomes.
  • Provide administrative support to volunteers and coordinators, focusing on data collection, administration management, and day-to-day enquiries from all stakeholders. Maintain high levels of organisational skills.
  • Oversee administrative tasks related to recruitment of new volunteers to ensure adherence to NHS guidelines; coordinate recruitment campaigns in support of Volunteer Services Coordinators to attract new volunteers and promote inclusivity and accessibility.
  • Provide input into the work of the Trust to support the achievement of its vision and values.
  • Ensure office standards are maintained, delivering professional, empathetic, and exceptional customer service at all times.
  • Utilise Canva and/or other creative systems to create marketing documents for internal and external stakeholders.
  • Maintain overall oversight and management of the volunteer management software tool (Better Impact); ensure data is accurately recorded and volunteers are compliant with use.
  • Daily use of Volunteer management systems.
