About the role
We are seeking a dedicated and detail-oriented individual to support the compliance of our Operator Licence general undertakings. This role involves working closely with the Transport Operations Manager to ensure all terms of the Operator Licence are effectively managed. You will also collaborate with the Trainer to maintain complete and audit-ready driver records, contributing to the smooth and compliant operation of our transport services.
The successful candidate will oversee vehicle maintenance and ensure all legal requirements are met, maintaining the integrity of our transport systems and documentation, while handling general administrative duties. This is an excellent opportunity for someone with a strong sense of responsibility and a passion for operational excellence in the transport sector.
You will be responsible for
Including but not limited to:
- Ensuring drivers' hours and tachographs rules are observed, with proper records kept.
- Verifying all drivers hold valid licences.
- Supporting Driver Trainers in managing driver documents, including assessments, inductions, training, and CPC HR files, ensuring they are complete, accurate, and audit-ready.
- Monitoring vehicle speed and driver behaviour, taking appropriate actions when necessary.
- Maintaining all vehicle records, including defect reports, safety inspections, routine maintenance, and repairs.
- Ensuring vehicles and trailers are fit and serviceable, including hired vehicles.
- Monitoring for defects or issues that could affect safety and ensuring they are promptly recorded and addressed.
- Managing digital systems such as Tacho Analysis, Licence checks, Vehicle files, and Camera & Telematics portals.
- Liaising with suppliers, reviewing performance against KPIs, and resolving ongoing queries.
- Conducting regular spot checks on drivers, vehicles, and administration processes.
- Problem solving and supporting internal/external audits and reporting.
- Assisting the Operations Manager with legal compliance reviews, document preparation, and report sharing, including meeting summaries.
- Maintaining confidentiality in accordance with GDPR.
You will need
Essential qualifications, skills, knowledge & experience
- GCSE Maths & English grade C or above, or equivalent.
- Administrative experience.
- Previous experience in transport & logistics environments.
- Proficiency in Microsoft Office 365.
- Ability to analyse verbal and numeric data.
- Ability to work independently and under pressure.
Desirable qualifications, skills, knowledge & experience
- National CPC holder.
- Experience in fleet administration or within Booker or similar retail/wholesale environments.
- Knowledge of Vehicle Road Transport law, especially driver hours and vehicle servicing.
- Understanding of Operator licensing compliance.
