Job description

We are seeking a dedicated and detail-oriented individual to support the compliance of our Operator Licence general undertakings. This role involves working closely with the Transport Operations Manager to ensure all terms of the Operator Licence are effectively managed. You will also collaborate with the Trainer to maintain complete and audit-ready driver records, contributing to the smooth and compliant operation of our transport services.

In addition to licence compliance, the successful candidate will be responsible for overseeing vehicle maintenance and ensuring all legal requirements are met. You will play a key role in maintaining the integrity of our transport systems and associated documentation, while also handling general administrative duties. This is an excellent opportunity for someone with a strong sense of responsibility and a passion for operational excellence in the transport sector.

Including but not limited to the following:

  • Ensuring drivers’ hours and tachographs rules are observed and proper records kept.
  • Ensuring all drivers always have a valid licence check in place.
  • Supporting Driver Trainers manage documents for all drivers including but not limited to; Assessment, Induction, Training and CPC HRs files are complete and accurate and audit ready.
  • Monitoring Vehicles are being operated within speed limits & appropriate actions taken with drivers.
  • Maintaining all vehicle records, which includes but not limited to driver defect reports, all safety inspections, routine maintenance and repairs to vehicles and trailers.
  • Ensuring Motor vehicles and trailers, including hired vehicles and trailers, are kept fit and serviceable.
  • Monitoring of defects or symptoms of defects that could prevent the safe operation of vehicles and/or trailers, and that any defects are promptly recorded in writing & appropriately administered.
  • Owner of digital systems, Tacho Analysis, Licence checks, Vehicle files, Camera & Telematics portals.
  • Regular supplier liaison, reviewing performance against KPI’s & closing off any ongoing queries.
  • Regular “spot checks” on drivers, vehicles and administration within the transport environment.

  • Liaison with Booker network and central fleet as required
  • Support internal/ External audits review & general administration & reporting
  • Support the Operations Manager with legal compliance reviews, preparing documents and sharing reports

    including preparation of summaries for meetings

  • Ability to keep details confidential within the scope of GDPR

Essential qualifications, skills, knowledge & experience

  • GCSE Maths & English grade C or above or equivalent.
  • Administrative experience
  • Previous experience of working in transport & logistics related environment
  • PC literate - Microsoft Office 365 suite.
  • Ability to analyse verbal and numeric data
  • Able to work on own initiative and under pressure

Desirable qualifications, skills, knowledge & experience

  • National CPC holder
  • Previous knowledge of working within Booker or similar retail / wholesale environment
  • Knowledge of Vehicles Road Transport law - particularly Driver hours and vehicle servicing
  • Experience with fleet administration
  • Knowledge of Operator licencing compliance
