  • Ensure drivers’ hours and tachographs rules are observed.
  • Support Driver Trainers in managing documents for all drivers.
  • Monitor vehicles to ensure they are operated within speed limits.
  • Conduct regular supplier liaison and performance reviews.
  • Assist with legal compliance reviews and prepare relevant documentation.

Job description

We are seeking a dedicated and detail-oriented individual to support the compliance of our Operator Licence general undertakings. This role involves working closely with the Transport Operations Manager to ensure all terms of the Operator Licence are effectively managed. You will also collaborate with the Trainer to maintain complete and audit-ready driver records, contributing to the smooth and compliant operation of our transport services.

In addition to licence compliance, the successful candidate will be responsible for overseeing vehicle maintenance and ensuring all legal requirements are met. You will play a key role in maintaining the integrity of our transport systems and associated documentation, while also handling general administrative duties. This is an excellent opportunity for someone with a strong sense of responsibility and a passion for operational excellence in the transport sector.

Key responsibilities include:

  1. Ensuring drivers’ hours and tachographs rules are observed and proper records kept.
  2. Ensuring all drivers always have a valid licence check in place.
  3. Supporting Driver Trainers in managing documents for all drivers, including assessments, inductions, training, and CPC HR files, ensuring they are complete, accurate, and audit-ready.
  4. Monitoring vehicles to ensure they are operated within speed limits and appropriate actions are taken with drivers.
  5. Maintaining all vehicle records, including driver defect reports, safety inspections, routine maintenance, and repairs.
  6. Ensuring motor vehicles and trailers, including hired vehicles, are fit and serviceable.
  7. Monitoring for defects that could prevent safe operation and recording any issues promptly.
  8. Managing digital systems related to Tacho Analysis, Licence checks, Vehicle files, Camera, and Telematics portals.
  9. Conducting regular supplier liaison, reviewing performance against KPIs, and resolving ongoing queries.
  10. Performing spot checks on drivers, vehicles, and administration within the transport environment.
  11. Supporting internal/external audits, reviews, and reporting.
  12. Assisting the Operations Manager with legal compliance reviews and preparing relevant documentation and reports, including meeting summaries.
  13. Maintaining confidentiality of sensitive information in accordance with GDPR.

Essential qualifications, skills, knowledge, and experience include:

  • GCSE Maths & English grade C or above or equivalent.
  • Administrative experience.
  • Experience in transport & logistics environments.
  • Proficiency in Microsoft Office 365.
  • Ability to analyze verbal and numeric data.
  • Ability to work independently and under pressure.

Desirable qualifications, skills, knowledge, and experience include:

  • National CPC holder.
  • Experience within Booker or similar retail/wholesale environments.
  • Knowledge of Vehicle Road Transport law, especially driver hours and vehicle servicing.
  • Fleet administration experience.
  • Understanding of Operator licensing compliance.

Desirable Skills

  • Proactive and independent work approach.

  • Strong analytical skills and attention to detail.
