Transport Planning Administrator
Working Hours: Monday to Friday, 8:00 AM – 5:00/6:00 PM
On-Call: Participation in an on-call phone rota
Location: Ford, West Sussex
Salary: £32,000 per annum plus on call premium £1500 per annum
Reports To: Transport Manager

Job Purpose
The primary focus of this role is logistics planning, ensuring efficient and effective route scheduling and coordination with drivers to maintain high operational standards. The secondary focus is transport compliance, supporting vehicle maintenance, driver documentation, and defect reporting. The successful candidate will be a quick thinker, able to adapt to changing circumstances and remain calm under pressure.

Key Responsibilities
Planning (Primary Role)
• Develop and manage daily route plans using transport planning software.
• Liaise with drivers to communicate planned routes and respond to real-time changes.
• Monitor and adjust plans to accommodate urgent requests, delays, or vehicle availability.
• Manage driver holidays and sickness to ensure adequate coverage and continuity.
• Utilise agency staffing where necessary to cover additional business needs.
• Participate in the on-call rota to handle out-of-hours transport issues.
Compliance (Secondary Role)
• Oversee and rectify reported vehicle defects promptly.
• Make informed decisions regarding Vehicle Off Road (VOR) status.
• Book and coordinate vehicle maintenance with approved service providers.
• Maintain accurate maintenance and compliance records.
• Raise and manage purchase orders for transport-related services and parts.
