Job summary

Saga in Crawley is seeking a Transport Operations Coordinator to support planning, delivery and support functions for a 24/7 operation, coordinating daily activities and prioritising changing requirements.

You will work with drivers, customers and suppliers to maintain accurate route data, produce reports and handle inbound/outbound calls, ensuring high service levels and timely information flow across teams.

  • Manage operational changes and queries, ensuring routing efficiency and driver compliance.
  • Monitor flights, traffic and weather, adapting transport plans in real time.
  • Communicate effectively with customers, drivers, colleagues and suppliers.
  • Produce and maintain journey documentation and reporting for budget tracking.
  • Handle inbound and outbound calls, resolving customer/supplier queries with excellent service.
  • Work across the wider transport operation to meet daily, weekly and monthly deadlines.

6-month FTC with potential for extension

38.5 hours per week - 12-hour shift pattern, 4 days on, 4 days off *

Occasional after-hours on-call duties required, with overtime incentives

We are looking for an organised and adaptable Transport Operations Coordinator to join our Transport Team. We have approximately 100 fleet vehicles and around 150 Chauffeur Drivers, nationwide, within our operation, taking our customers to and from their home to their port or airport destination. This is an exciting opportunity for someone with experience in a fast-paced operational environment who is ready to make an immediate impact. While experience in transport would be beneficial, it is not essential. We are looking for someone who understands the importance of pace, accuracy, and quick decision-making, whether from a control room, call centre, dispatch, customer operations, or another live service environment.

Joining during a particularly busy operational period, you will support our Planning, Delivery, and Support functions by coordinating daily activities, managing changing priorities, and ensuring requirements are delivered efficiently. You will need to be comfortable working in an environment where situations can change quickly, using your judgement to prioritise tasks, resolve issues, and maintain accuracy while balancing multiple demands.

Working closely with internal teams, customers, drivers, and third-party suppliers, you will combine strong organisational skills with excellent communication and people skills to provide a high level of service. You will be comfortable following processes, learning new systems, and managing accurate information, while bringing the flexibility and adaptability needed to support a 24/7 operation where priorities can change quickly.

* Due to the nature of the role and because the operational team operates 24/7 from our offices, occasional flexible shift patterns will be a requirement. Candidates will need to be within a commutable distance of Crawley; there may be the odd occasion to work from home, but the majority of shifts will be from our office base.

Role Responsibility
  • Maintain and administer master route planning data, ensuring all systems and databases are accurate and up to date to support effective journey delivery.
  • Support Transport Planners and the Team Leader in producing cost-effective and efficient journey plans in line with business rules and service standards.
  • Manage operational changes and queries (including amendments, cancellations and customer requirements), ensuring routing efficiency and driver compliance are maintained.
  • Monitor flights, traffic and weather conditions, adapting transport plans in real time to accommodate last-minute changes and ensure smooth driver coordination.
  • Communicate effectively with customers, drivers, colleagues and third-party suppliers, providing clear information on pick-ups, mobility, luggage and journey arrangements.
  • Produce and maintain journey documentation and reporting, including customer pick-up times, overall mileages and data required for internal budget tracking.
  • Handle inbound and outbound calls, resolving customer and supplier queries with a strong focus on delivering exceptional service.
  • Work collaboratively across the wider transport operation, meeting daily, weekly and monthly deadlines while maintaining clear and cohesive communication across teams.
The Ideal Candidate

We are seeking an adaptable operations professional who thrives in a fast-paced environment and can support the team from day one. Whether your experience is in transport, logistics, dispatch, customer operations, control room, or a similar field, you bring composure under pressure and quickly adjust to changing priorities. You’ll demonstrate:

  • Strong organisational skills with excellent attention to detail and the ability to manage multiple priorities effectively.
  • The confidence and experience to make decisions quickly and accurately within a time-sensitive operational environment.
  • Excellent written and verbal communication skills, with a professional telephone manner and the ability to communicate effectively with a range of stakeholders.
  • Good working knowledge of Microsoft Office packages, particularly Excel, with confidence handling data and operational reporting.
  • The ability to work independently while also contributing positively as part of a wider team.
  • A proactive and adaptable approach, with the ability to respond positively to change and operational challenges.
  • A genuine commitment to delivering excellent customer service and maintaining high operational standards.

Desirable (but not essential):

  • Previous experience in transport planning, fleet coordination, passenger transport, or a similar operational role.
  • Strong geographical knowledge of the UK road network and postcode areas.
  • Experience working with transport management systems or journey planning software.
  • Experience working within a 24/7 operational environment.
