This job description sets out a summary of the key features of the role. It is not intended to be exhaustive and will be reviewed periodically to ensure it remains appropriate for the role.
The areas for which the jobholder is responsible will be kept under review and may change over time in response to emerging priorities and organizational development.

Responsibilities

- Order Processing - Prepare and sort documents/data sheets for the purpose of data entry, ensuring that the data recorded is entered onto the specific database completely and accurately; Verifying completed work for accuracy and make any required changes immediately.
- Customer Relations – keep customers up to date with regard to their deliveries and let them know if a delivery is going to be late. Keep customer delivery schedules up to date and sent to the customer on a regular basis. Be first point of contact for all customer queries relating to deliveries.
- Run Sheets – run-sheets outlining all deliveries for the following day should be emailed to Credit Control by 11am. These will then be reviewed by Credit Control to ensure that deliveries do not go out to customers who are ‘on stop’, who have reached their credit limit or who the company are otherwise in dispute with about their account.
- Following this review, the Run Sheets should be returned to each Branch by Credit Control by 3pm each day (at the latest); upon receipt branches will need to review their delivery schedules and take action as appropriate to ensure that any flagged deliveries do not go out.
- Delivery Drivers – run-sheets for Delivery Drivers need to be prepared a day in advance in terms of vehicle weights, delivery route / maps, delivery times, mileage and driving hours etc. This will ensure that all deliveries can be made on time and the Branch can take appropriate action if it seems that all deliveries cannot be made (e.g. hire an agency driver / reschedule certain deliveries with customer’s agreement).
- Comply with the company’s policies and procedures as set out within the Employee Handbook, Accreditations Manual (including Best Practice Quality Guide) and the Health and Safety Manual, as updated from time to time.
- Comply with the requirements for the role as set out within the company’s Integrated Management System (currently comprising of the Quality Management System, Environmental Management System and the Health and Safety Management System), as updated from time to time.
- Comply with the requirements of any Core Duties or other relevant procedural or policy document applicable to your role.
- The post holder must also undertake other duties within his/her competence or otherwise appropriate to the grading of the post as required.

Knowledge, Skills and Experience

- Demonstrate an awareness of health & safety within the workplace.
- Proven ability to use multiple applications for logistics and routing.
- Possess a great use of SATNAV.
- Ability to manage people and meet business targets.
- Ability to exercise initiative and independence, whilst also working as a team.
- Ability to follow both verbal and written instructions and keep accurate records.
- Maintain effective communication with management and peers.
- Demonstrate excellent organisational and time management skills, to meet delivery schedules and complete assigned jobs, in order to meet customer expectations.
- Proven proficiency as fork lift operator.
- An awareness of, and commitment to, equality of opportunity
- Demonstrate an understanding of equalities in the workplace

Qualifications

- Previous experience as a Transport Manager

- Sound basic IT skills – full training on our inhouse system will be provided

- Good problem solving and people management skills

- Strong interpersonal skills and the ability to work well as part of a team, as well as manage people; excellent communication skills

- Maintain a positive attitude to continued learning and growth

- A valid Transport Managers CPC would be a distinct advantage
