Job summary

Great Bear, part of Culina Group, seeks a Transport Administrator to provide critical administrative support in a fast-paced logistics environment. You will manage data integrity, process supplier invoices in SAP, and generate daily reports for both Transport and Finance teams.

The role requires strong communication, attention to detail, and the ability to work to deadlines. You will also coordinate with regional partners on invoicing, maintain training/compliance systems, and monitor driver

Qualifications

  • Proven experience in a similar role.
  • Excellent communication skills.
  • Strong problem solving, analytical and organisational abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Good knowledge of Microsoft Office packages.

Responsibilities

  • Update the WTD system to keep data current and accurate.
  • Monitor and maintain records for agency drivers; process invoices using SAP; track agency terms and conditions.
  • Update training and compliance systems; run site reports.
  • Input and monitor drivers' holidays and sickness; manage time-keeping and attendance; process sick notes.
  • Create and provide daily reports/spreadsheets for Transport and Finance.
  • Receive and monitor fuel deliveries; maintain fuel monitoring system.
  • Carry out general administration (orders for uniforms/stationery).
  • Liaise with Regional Partners on invoicing and PO requisitions.
  • Support timely resolution of customer queries and complaints.
  • Monitor PODs and report outstanding items.
  • Record and monitor subcontractor activities; report delivery KPIs; update customer portal with delivery information.
  • Support the compliance department with vehicle data.

Job description

The purpose of a Transport Administrator is to provide administrative support and creation of accurate data, with the ability to work to deadlines and contributing to the overall success of the site. Key Duties of a Transport Administrator:

  • Regularly updating the WTD system, ensuring the data is up to date and accurate.
  • Monitoring and maintaining records for agency drivers, processing invoices using SAP and keeping accurate records of agencies' terms and conditions.
  • Regularly updating the training and compliance systems, ensuring data is up to date and running reports for site to review.
  • Inputting and monitoring drivers' holidays and sickness absence, maintaining the time-keeping and attendance system and processing sick notes.
  • Creating and providing daily reports / spreadsheets for both the Transport and Finance departments.
  • Receiving and monitoring fuel deliveries and maintaining the fuel monitoring system.
  • Completing general administration tasks. Eg. Ordering uniform and stationary.
  • Liaise with Regional Partners with regards to invoicing and PO requisitions.
  • Support with the timely resolution of customer queries and complaints.
  • Monitoring daily and reporting any outstanding POD's.
  • Recording and monitoring of daily subcontractor activities. Reporting delivery KPI's and updating the customer portal with delivery information.
  • Support the compliance department maintaining the vehicle compliance system, updating vehicle information as required.
  • Proven experience in a similar role.
  • Fantastic communication skills.

  • Good knowledge of Microsoft office packages.
