Job description

Job Summary

We are seeking a proactive and detail-oriented Transport Administrator to join our logistics team. This role involves coordinating deliveries, scheduling drivers, and managing customer communications. You’ll play a key role in ensuring our transport operations run smoothly and efficiently.

Location: Morris Park, Glasgow, G5 0YE
Salary: £25,397 (pro rata)
Hours: Up to 40 hours per week, Monday to Friday (to be agreed)
Annual Leave: 28 days (including statutory holidays)
Remote Working: Hybrid – flexibility to work from home once fully competent

Main Duties

• Book and schedule drivers for transport jobs.
• Monitor deliveries using tracking systems and resolve any issues or delays.
• Receive and process orders via supplier platforms, email, and telephone.
• Input job details into internal systems accurately.
• Bid on jobs and negotiate pricing with customers.
• Maintain professional communication with customers and drivers.
• Work independently to meet deadlines and ensure service quality.
• Assist with bid writing and contract submissions.
• Take a flexible approach to ensure all transport orders are fulfilled.

Additional Duties

You may also be asked to support other areas of the business, including:

Administration & Office Support
• Handle incoming calls, emails, and correspondence.
• Maintain filing systems and manage office supplies.

Client Communication & Quoting
• Respond to customer enquiries and prepare job quotes.

Invoicing & Finance
• Generate invoices, track payments, and assist with basic bookkeeping.

Proof of Delivery (POD)
• Send PODs to clients and resolve documentation issues.

Compliance
• Support ISO9001 and ISO14001 systems and prepare audit documentation.

Skills and Experience Required:

• Strong organisational and communication skills.
• Proficiency in Microsoft 365, especially Excel.
• Ability to self-manage and prioritise tasks.
• Experience in logistics, administration, or customer service (preferred).
• Familiarity with ISO standards (desirable).
