Overview
The Data & Tooling Specialist plays a critical role in managing and enhancing the PMO's digital reporting infrastructure. This role ensures that tools and reporting systems effectively support Transformation & Delivery both now and in the future. Maintains the integrity of initiative data and enables data-driven decision-making across the organisation by providing accurate, timely, and actionable insights to drive operational excellence and strategic alignment. Adapts to new business and technology-driven objectives to support the programme and its initiatives, providing targeted information from key data metrics.
Responsibilities
- Administer and optimise PMO tools and reporting platforms (e.g., Power BI, JIRA, Smartsheet, ServiceNow, etc.).
- Ensure seamless integration between project management tools and reporting systems.
- Evaluate and implement new tools to improve reporting efficiency and data accuracy.
- Anticipate future data needs, identify potential data sources, and design scalable and robust data & tooling solutions.
- Develop and maintain dashboards and reports to support project tracking, portfolio health, and executive decision-making.
- Automate recurring reports to provide timely delivery of insights to stakeholders.
- Conduct regular audits of data quality, consistency and integrity across systems.
- Maintain metadata and documentation for data sources and reporting logic.
- Act as the point of contact for tooling and queries within the PMO.
- Foster a data-literate culture through training and support to users on tools and dashboards.
- Work closely with IT and data teams to resolve system issues and implement enhancements.
Qualifications
- Highly proficient in managing and configuring tools like Power BI, JIRA, Smartsheet, or ServiceNow.
- Ability to design and maintain dashboards that support project tracking and executive reporting.
- Experience connecting multiple data sources and ensuring seamless data flow across systems.
- Strong understanding of data quality, consistency, and integrity principles.
- Familiarity with automating reporting processes using tools like Power Automate, Python, or SQL.
- Ability to maintain clear documentation of data sources, logic, and reporting structures.
- Skilled in gathering data and tooling requirements and translating them into technical solutions that address current and future programme needs.
- Ability to troubleshoot tool issues and identify opportunities for improvement.
- Supporting adoption of new tools or enhancements across delivery teams.
- Understanding of user roles, permissions, and data security within reporting platforms.
- Experience in a PMO, delivery, or operations environment.
- Hands-on experience on project management platforms.
- Proven track record of building dashboards for business stakeholders.
- Experience maintaining data accuracy and integrity across systems.
- Experience supporting delivery teams with tooling and data insights.
- Experience supporting teams on tooling adoption and best practices.
- Familiarity with maintaining documentation and enforcing data & reporting standards.
- Demonstrated ability to identify and implement tooling or reporting enhancements.
- Experience driving end-to-end data automation.
