Hours:

35 hours per week (9:00 am – 5:00 pm, Monday to Friday). Flexibility will be required, with occasional additional work outside core hours during busy periods.

Overall Purpose

To work as part of the Trade Mark secretarial team, delivering a full range of secretarial and administrative support services to all levels of Trade Mark fee earners. The role requires strong attention to detail, the ability to work autonomously across certain processes, and the confidence to seek guidance when needed. The role holder will support new fee earners in becoming familiar with firm procedures and ensure accuracy by troubleshooting, spotting errors, and sense-checking work received from both internal and external contacts.

Key Duties and Responsibilities
  • Provide high-quality secretarial and administrative support in line with the firmrastruct core competencies.

  • Learn and develop expertise in the core areas of Trade Mark support, seeking guidance and supervision when required.

  • Populate standard letters (basic independently, more complex under supervision) while identifying issues requiring escalation.

  • Assist fee earners with secretarial tasks, ensuring a high level of accuracy in all outputs.

  • Support new fee earners in becoming familiar with the departmentor processes and procedures.

  • Sense-check and troubleshoot information received from internal teams (Renewals/Accounts/Fee Earners) and external contacts.

  • Collaborate with colleagues in the Trade Mark team to deliver seamless support.

  • Carry out any other reasonable duties in line with the roleor purpose and as the needs of the business evolve.

Person Specification

Qualifications/Academic Achievements

  • GCSEs (ideally at least 5 Grade C or above, with Grade B or higher in Maths and English).

  • Secretarial qualification preferred.

  • Alternatively, A-level or degree-level education combined with a secretarial qualification.

Work Experience

  • At least 1 year of previous administrative, secretarial, or relevant professional services experience (ideally in a legal or IP setting).

Technical Skills

  • Excellent audio typing and copy typing skills.

  • Advanced knowledge of Microsoft Word and Outlook.

  • Working knowledge of Excel and PowerPoint.

  • Ability to populate basic standard letters without supervision and more complex letters with support.

  • Basic knowledge and experience of Inprotech database system preferred.
