Job summary

Bird & Bird is seeking an experienced Trade Mark Administrator to join our Brand Management team in London. You will manage trade mark formalities, deadlines and data in IP software, supporting a multinational portfolio and collaborating with partners remotely.

The role requires strong docketing experience, meticulous document management and excellent communication. CITMA qualification is preferred, with proficiency in Word, Excel and PowerPoint and the ability to work under pressure.

Qualifications

  • Experience of trade mark formalities and administration activities within a large team servicing multi-national portfolios.
  • Working knowledge of the formalities requirements for protecting trade marks and designs.
  • Able to work independently and support global partners remotely.
  • Strong Trade Mark docketing experience.
  • CITMA qualification (preferred).
  • Good technical document management skills (Word, Excel, PowerPoint).
  • Excellent written and oral communication skills.
  • Ability to stay calm under pressure.
  • Strong organisational skills.
  • Proven ability to deal with confidential matters.

Responsibilities

  • Review incoming and outgoing correspondence to identify key information, statutory deadlines and docketing details.
  • Assist with quality assurance checks and share knowledge with junior team members.
  • Assist with allocation of workload within a small team.
  • Support portfolio onboarding, including data creation and verification for critical fields and deadlines.
  • Assist with due diligence related to trade mark portfolios and auditing data from national IPOs and overseas offices.
  • Implement standard system-generated documents for global Bird & Bird offices.

Supporting global partners/clients remotely

Our Brand Management team are seeking an experienced Trade Mark Administrator to join this growing practice area. You will have been exposed to trade mark formalities and administration activities in all areas of the job description shown below. You will have worked within a team environment servicing large multi-national trade mark portfolios and be accustomed to working to tight deadlines with each of IPOs, overseas law firms/trade mark attorneys, internal and external clients. We would expect the successful candidate to have gained similar experience in a law firm or Trade Mark Attorneys. CITMA qualification and experience of WebTMS (IPPO) will be advantageous.

Key Responsibilities
  • Review incoming and outgoing correspondence to identify key information, statutory deadlines, timetables for future activity/requirements and other docketing details, and updating IP software database accordingly.
  • Assist with quality assurance checks, including providing feedback, guidance and sharing of knowledge with more junior team members.
  • Assist with allocation of workload within a small team.
  • Support portfolio onboarding, including review of IP portfolios, data creation and data verification for critical fields and deadlines.
  • Assist with due diligence related to trade mark and IP portfolios, including auditing of data from national IPO, local associates and other commercial databases.
  • Implement standard system generated documents including letters, forms and reports for global Bird & Bird offices.

  • A working knowledge of the formalities requirements for protecting trade marks and designs.

  • Excellent written and oral communication skills, with good attention to detail.
  • An ability to stay calm in demanding situations in particular when the fee-earners are operating under pressure.
  • Strong organisational skills.
  • Proven ability to deal with confidential matters.
