TFL Administration Assistant

Location: Head Office, Wickford, Essex, SS11 8YB

Salary: Range depending on experience - £24,000.00 to £30,000.00 per year

Working Hours: 5 Days a week, Monday to Sunday – shift rota to be discussed with successful candidate based on 40 hours per week. Worked over 5 days, Full-time, Permanent.

About Us:

Close Brothers Rail Ltd is a leading provider in the Rail sector, and we are actively recruiting a Rail Administration Assistant to join our team. This role involves collaborating closely with our existing team to manage the PPM contract, assisting with reactive works.

Key Responsibilities:

  • Contract Management: Oversee the management system and coordinate allocated resources to ensure excellent service delivery across the TFL Rail contract.
  • Work Coordination: Conduct daily updates and meetings regarding PPM programme and prioritize works, focusing on high-profile tasks.
  • Team Collaboration: Participate in team and client meetings, providing detailed reports and assisting with the management system so that all information is current.
  • Resource Management: Assist with labour resources and liaise closely with Operations teams to identify and manage risks based on reports and photographs.
  • Client Management: Maintain communication with clients regarding project progress, lead times, and deadlines. Monitoring KPI’s.

Qualifications & Skills:

  • Relevant experience in a similar role, working on PPM and reactive faults would be advantageous.
  • Proficiency in Microsoft Office Suite.
  • Excellent interpersonal skills with a strong customer service orientation.
  • Ability to develop systems and processes to meet objectives and meet KPI’s.
  • High analytical skills with a talent for delivering creative solutions.
  • Strong attention to detail, with the ability to work under pressure and multi-task.
  • Excellent oral, written, and presentation skills.
  • Work closely with our procurement/buying teams to order plant and materials and stock control.
  • Understanding of data confidentiality and commercial awareness.
