Job description

1. OVERVIEW OF DIANA

The Defence Innovation Accelerator for the North Atlantic (DIANA) is NATO’s newest body. From across the Alliance, DIANA will bring together innovators and operational end users to foster a transatlantic ecosystem supporting dual-use ground-breaking innovation in deep technologies.

DIANA is an independent NATO body comprised of an Allied Board of Directors and an executive management team - the DIANA Executive (DX). Operating out of regional offices in Europe and North America, the DX will conduct DIANA’s mission: accelerating deep tech, dual-use solutions to critical transatlantic challenges in defence and security. The DX will use Challenge Programmes in line with a published Strategic Direction, as the primary vehicle to accomplish this mission. 2. OVERVIEW OF THE ROLE

The duties of this role include:

  1. Maintain and troubleshoot existing HubSpot workflows and automations, identifying and resolving issues for seamless process execution.
  2. Translate business requirements into technical solutions on HubSpot, driving process improvements and efficiency gains.
  3. Design and build new HubSpot workflows.
  4. Configure custom views and configurations in HubSpot to meet specific business needs.
  5. Implement and configure HubSpot’s Service Hub for ticket and resolution management.
  6. Assist in driving future integrations into DIANA’s current tech stacks.
  7. Conduct testing and quality assurance to ensure seamless integration and adoption.
  8. Collaborate effectively with stakeholders such as the DX Digital Strategy Advisor, HubSpot Project Officer, external HubSpot implementation partners, and business process owners.
  9. Create, review, and analyze data/project plans related to HubSpot integration and communicate status updates.
  10. Drive the continued adoption of HubSpot across the business.
  11. Perform any other related duties as required.

Given the urgency of these temporary positions, candidates should be available for short-notice employment. This requires either possessing a valid NATO security clearance at application time or having held one previously with the ability to reactivate it swiftly. 3. ROLE REQUIREMENTS, QUALIFICATIONS, AND EXPERIENCE

ESSENTIAL

The incumbent must have:

  • Bachelor’s Degree in a relevant field.
  • At least 5 years of hands-on experience with HubSpot architecture, workflow automation, and configuration (CRM and ServiceHub).
  • Strong understanding of HubSpot APIs and third-party system integrations.
  • Minimum of 2 years of experience translating business requirements into technical solutions.
  • Excellent knowledge of software testing and quality assurance processes.
  • Strong organizational and stakeholder management skills.

Note: Most internal work is conducted in English.

DESIRABLE

The following are considered advantageous:

  • HubSpot certifications.
  • Experience in innovation accelerators or incubators.
  • Experience in SaaS or high-growth tech environments.
  • Knowledge of NATO’s institutional framework, policies, and procedures.

DIANA offers flexible teleworking options, including working from the office, home, or across NATO Allied Nations, subject to managerial approval. The successful candidate will receive a six-month temporary contract.
