Overall Purpose of Job

  • As a valued member of our client’s property services team, you will be responsible for managing the operational standards and performance, including quality assurance for audit purposes and acting as the SME for multiple stakeholders (both internal and external).
  • Managing and implementing void governance across the operations.
  • To ensure that standards are delivered through the ownership of the client’s defined operational standards.
  • To ensure performance, compliance and governance is delivered through the CAFM and compliance systems, to be evidenced in the KPIs.
  • Working closely with the client to ensure that a pro-active and responsive service is delivered.
  • To ensure that operational standards are delivered through the delivery of policies and procedures.
  • To support the successful delivery of change driven by acquisitions and disposals and contract reviews.
  • To oversee the management of voids, including the governance process.
Responsibilities

Scope of job

  • Your responsibilities will include auditing the operational standards being delivered within the contractual performance of the FM Service Partners.
  • Provide technical guidance and advice to the portfolio’s operations managers.
  • Manage and advise on systems used within the client’s portfolio.

Principle accountabilities

  • Working closely with the performance manager, responsible for any dispute resolutions in line with the contract requirements.
  • Drive operational standards through the monitoring of KPI’s and delivery of the client’s operational standards.
  • Support the client with ensuring that acquisitions, disposals and development projects are delivered in a timely manner.
  • Responsible for the governance and audit of FM platforms for both the client and their FM Service Partners including their CAFM and compliance systems.
  • Responsible for ensuring adherence to processes and procedures throughout the operational portfolio including quality and assurance for audit purposes.
  • Be the SME technical support for the portfolio.
  • Responsible for the governance and adherence to the Void Management process.
  • Support the client with performance of PMA agreements.
  • Build an excellent rapport with FM Service Partners and internal stakeholders to drive value and promote best practice.
  • Undertake any other reasonable duties as required.

Qualifications

  • Good understanding of relationship management, influencing and stakeholder management.
  • Good understanding of industry best practice.

  • Excellent interpersonal skills, resilience, and diplomacy.

  • Organised, methodical and structured thinker with strong problem solving skills and attention to detail.
  • Operational knowledge of Facilities Management.
  • Good understanding of relationship management, influencing and stakeholder management.

Essential

  • A working knowledge of operations in Commercial or Retail – ideally both.
  • Good collaboration/team skills, establishing and developing productive relationships with internal and external stakeholders.
  • Balance of both analytical and creative thinking.
  • A passion for new technology and automation.
  • Good working knowledge of CAFM systems and compliance systems.

Desirable

  • Qualification in Facilities Management.
  • NEBOSH Qualification.
  • Understanding of leadership and how to influence.
  • Knowledge of RICS Service Charge in Commercial Property 1st edition.
