Job Title: Technical Operations Administrator
Reporting to: Technical Operations Learning and Development Manager
Department: Technical Operations
Based: Croydon
Objective of the role: To provide efficient and proactive administrative support to the Technical Operations Department.
Hours: 35 hours per week, Monday to Friday.
Main Duties
General Administration
- Technician NatWest expenses:
- Ensure technician NatWest statements are submitted according to Standard Operating Procedures (SOPs).
- Check that technicians have completed NatWest correctly and all receipts are provided.
- Record all relevant information on the central SharePoint spreadsheet.
- Follow up with technicians on errors or irregularities.
- Prepare monthly audit selections for Technician Team Managers.
- Technician Uniform:
- Order new uniforms requested by technicians.
- Monitor and account for stocked uniforms, and dispose of them when required.
- Liaise with the Technical Training Team and update on uniform orders during technician induction.
- Fleet Support:
- Renew road tax.
- Handle queries related to PCNs and traffic offences.
- Ad hoc duties:
- Arrange hotel bookings upon request.
- Raise POs for invoices and notify Accounts Payable.
- Process Toll Tag payments.
- Update technician database for new starters and leavers.
- Log Agent Network PAS43 and insurance details.
- Record technician holidays and sickness.
- Handle telephone and email queries efficiently.
- Check ABS task list for technician attachments and assign to RSA case files.
Additional Responsibilities
- Health & Safety:
- Maintain a safe and tidy work area.
- Comply with the Health & Safety Work Act 1974.
- Report any health and safety issues to the appropriate personnel.
- Training:
- Inform your manager of any additional training needs.
- Quality Management System:
- Follow all documented quality procedures and instructions as part of the team.

Appraisals
- Participate in annual appraisals, team meetings, and one-to-one assessments.
