You will be a proactive and detail-oriented administrative assistant who can provide support to the Snr Leadership team of our Irvine site.
As an Office Admin, you will be responsible for overseeing various aspects of office operations and ensuring a well-organized and efficient workplace.
Maintain a neat and organized office environment. Coordination of Renovations/Maintenance: Project manage office refresh plans and upgrades. Oversee daily cleaning in the office and lunchroom. Organize and liaise with building management for maintenance needs. Coordinate supply and furniture orders, including office and lunchroom supplies. Manage beverage and food orders, ergonomic/furniture orders, and printing supplies.
Provide administrative support to the Leadership Team and other staff members. Assist with logistics arrangement during any department level events such as townhall conferences, milestone celebration, Christmas and New Year parties, etc. Ensure activations for onboarding/new hires. Assist in onboard planning and meeting arrangements. Financial administration for the department including invoicing, expense processing and raising POs.
IT and mobile device renewals and orders: (Coordinate timely IT renewals for existing employees, Manage the procurement process for new PC orders) Office Machine Upgrade/Maintenance: (Plan and execute office machine upgrades and maintenance activities, Collaborate with maintenance teams to ensure optimal functioning) Equipment Orders and Environmental Disposal: (Handle equipment orders, office supplies, and accessories. Implement environmentally responsible disposal practices for outdated equipment. ADHOC Troubleshoot (Conduct refresher sessions on programs/processes for current employees and new hires. Provide orientation support and troubleshoot IT hardware issues. Act as a liaison with technical support for issue resolution.
Inventory and Office Supplies: (Manage inventory of office supplies and place orders when needed. Coordinate with vendors and suppliers for efficient office resource management. Local Support and Vendor Coordination: Provide local support for office vendors. Manage ad hoc and annual purchase orders, address payment issues.Liaise with procurement manager issue resolution.

The salary for this position has a range of 70,420.00 - 105,630.00 annual based on anticipated responsibilities, market benchmarks, and organizational constraints. The definitive compensation may vary in alignment with the selected candidate’s professional background, experience, operational needs and other considerations permitted by law. The comprehensive remuneration details, inclusive of benefits, will be communicated upon finalization of the employment offer.
