Administrative assistance within a fast-paced, dynamic environment. The PA will act as a trusted partner, facilitating time management, project coordination, and the seamless execution of strategic priorities across the global and EMEA capital markets business.
Key Responsibilities:
- Comprehensive diary management for the Head of Global and EMEA Capital Markets and three other EMEA Directors, including scheduling across multiple time zones and prioritising demands.
- Arranging complex international travel, including itinerary planning, visa and accommodation coordination, and expense processing.
- Preparing meetings with agenda planning, document collation, briefing packs, and minutes.
- Tracking action points post-meetings to ensure accountability.
- Supporting logistics for events such as conferences, client events, roadshows, and training sessions.
- Assisting onboarding of new team members within EMEA Capital Markets.
- Liaising with executive leadership, clients, and stakeholders globally and regionally.
- Maintaining confidentiality and professionalism in all communications.
- Supporting project management, research, and report or presentation compilation.
- Identifying opportunities to streamline processes and improve efficiency.
- Managing expense claims for Directors.
- Liaising with internal divisions like IT, Finance, HR, and Operations.
Qualifications & Skills:
- Experience supporting senior executives as a Team Assistant, Personal Assistant, or Executive Assistant, preferably in corporate or financial services.
- Ability to manage multiple priorities, complex diaries, and deadlines under pressure.
- Excellent interpersonal, verbal, and written communication skills.
- Discretion in handling sensitive information.
- Event coordination experience is desirable.
- High accuracy in document and data handling.
- Proficiency in Microsoft Word, PowerPoint, Outlook, and videoconferencing tools like Microsoft Teams.
- Proactive and solution-oriented with a strong sense of ownership.
- Ability to work effectively across cultures and time zones.
