Job summary

This role is to lead admin teams across Oncology Medical Records, Brent, Chemotherapy Day Case and Oncology Reception. Providing in-house training and support for the Admin team within these areas, to support when staffing is low and managing performance. This role is to review processes, and liaise with the Oncology Pathway co-ordinator.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

Job responsibilities
  1. In conjunction with the Line Managers, ensure all staff achieve and maintain high standards of work.
  2. To ensure that the team is supervised on a day-to-day basis and annual appraisals are carried out and to ensure performance targets are met. Supported by the Specialty coordinator and Clinical Administration Manager.
  3. To co-ordinate the annual leave for named personnel.
  4. To co-ordinate the reporting and recording of sickness of named personnel. Return to work interviews will be carried out by the Specialty coordinator and Clinical Administration Manager.
  5. In conjunction with the Line Managers develop and maintain systems to ensure that staff adhere to the Access Policy for Planned Care Services and APN guidelines for managing patients attending the Unit.
  6. To ensure all clinic notes are prepared ready for clinicians/nursing staff according to the agreed procedures.
  7. To ensure that all telephone calls are dealt with in an appropriate manner and within an acceptable time frame. Any queries that cannot be resolved to be directed to Line Managers.
  8. To ensure all staff working in the team are familiar with each others roles and provide support and arrange cover for annual leave and sickness whenever possible.
  9. To ensure that the Line Managers are kept informed of concerns over waiting times, development needs and staff performance issues.
  10. To assist in arranging additional bookings, as directed by the Line Managers.

Qualifications

Essential

  • Proven GCSE in English Language & Maths GCSE or equivalent, grades 4-9 (A-C)
  • NVQ level 3 in either business administration or related subject or equivalent demonstrable experience

Desirable

  • ECDL

  • Previous demonstrable clerical experience
  • Previous demonstrable experience of working within a large clinical setting
  • Computer literate
