  • Native-level Spoken & Written English: Must have impeccable phone and email communication skills (English-medium education preferred).
  • UK-Aligned Availability: Fully synchronised with UK office hours (8 am–5 pm GMT), plus occasional one-day weekend cover per month.
  • Remote-Ready in India: Proven track record of thriving in a fully remote environment.
  • Leadership & Ownership: You’ll initially manage one junior, with a high-performing team to build as we expand.

As Team Lead, you will be the linchpin ensuring every payroll run is accurate, every new client is onboarded seamlessly, and our systems remain rock-solid. You’ll start by supervising one junior specialist and, under our expansion plan, build and inspire a high-performing team.

What You’ll Do

  • Client Communication & Support
  • Act as the primary escalation point for all payroll/onboarding queries via phone and email.
  • Provide step-by-step guidance for client software setup (QuickBooks, BrightPay, Dext, Zoho CRM, Client Engager) and share curated video tutorials.
  • Follow up rigorously until every client is fully onboarded and confident.
  • Payroll Process Leadership
  • Oversee payroll runs, ensuring 100% accuracy and HMRC RTI compliance.
  • Mentor and coach junior payroll staff, embedding best practice and fostering accountability.
  • Keep abreast of UK payroll legislation (CIS, auto-enrolment, pension declarations).
  • Systems & Data Integrity
  • Own Client Engager practice management: enforce data hygiene, manage user roles and optimise workflows.
  • Maintain Zoho CRM records for seamless client handovers.
  • Billing, Collections & Secretarial Duties
  • Lead end-to-end billing: raise invoices, chase overdue payments, resolve failed direct debits and secure new mandates.
  • Undertake company secretarial tasks: maintain statutory registers and file returns with Companies House and HMRC.
  • Manage AML/KYC compliance processes meticulously.
  • Reporting & Strategic Growth
  • Compile detailed monthly reports on KPIs, revenue versus targets and client satisfaction metrics.
  • Identify process bottlenecks and drive continuous-improvement initiatives.
  • Contribute to strategic planning to support our rapid expansion.

About You

  • Bachelor’s degree from an English-medium institution (or equivalent experience).
  • 5+ years’ UK payroll expertise, including 2+ years in a leadership role.
  • In-depth knowledge of HMRC requirements (VAT, CIS, RTI, auto-enrolment) and company-secretarial practice.
  • Exceptional organisational skills, attention to detail and the ability to juggle priorities in a fast-paced remote setting.
  • Proactive mindset, with a passion for delivering outstanding client experiences and building strong relationships.
