The Role

Roles and Responsibilities

  • Coordinate logistics and technical setup for all team meetings, events, equipment, etc.
  • Maximize time allocation to high-priority tasks, minimizing overtime.
  • Understand the core business of the client.
  • Coordinate with communications leaders, management, HR, and talent acquisition for interviews and follow-ups.
  • Schedule and coordinate interviews with talent acquisition.
  • Collaborate with the Chief of Staff to ensure office synergy and task completion before review meetings.
  • Arrange and coordinate all aspects of executive travel, including visas and documentation.
  • Manage distribution lists, keeping them updated.
  • Prioritize skills, tasks, and track important client data and mandatory activities.
  • Work independently to ensure team responsibilities run smoothly.
  • Proactively address issues, make decisions confidently.
  • Produce presentation materials and analyze data for clients.
  • Collaborate with EAA’s globally on upcoming tasks and education.
  • Build trusting relationships within the team and with global offices.
  • Mentor peers to meet office protocols and expectations.
  • Demonstrate ownership, high ethical standards, and confidentiality.
  • Engage in personal growth and continuous learning.

Required Technical and Professional Skills

  • Excellent English communication skills, oral and written.
  • Professional attitude with a focus on client satisfaction.
  • Technical proficiency, including Concur system, Microsoft Office, and familiarity with AI tools.
  • Ability to handle sensitive information securely.
  • Adherence to company policies and flexibility to take on additional tasks.
