Job description

Job Title: Team Executive Assistant

Department: CRM/Digital/Marketing/Human Resources/Finance

Reports to: Chief Client Officer (CCO)

Dotted Line to: SVP Human Resources, CFO

Locations: London Head Office

Overall Purpose of the Role:

To actively support the Chief Client Officer and key members of the leadership team as Team Executive Assistant. Support Digital, Client and Marketing team on initiatives and projects whilst supporting departmental and administrative activity. To support SVP HR and CFO with administrative activity, diary management and travel. To provide proactive support across all areas of their remit and facilitate the flow of communication with other departments and regions.

Key Responsibilities and Duties:

Executive Assistant Support for CCO, SVP HR and CFO

  • Organise and schedule meetings and support senior management with diary management as and when required.
  • Organise travelling arrangements, accommodation and scheduling for the department.
  • Complete expenses reconciliation where required.
  • Provide ad-hoc support and general assistance to departmental teams.

Team Assistant Support for Digital/Marketing/Client team under CCO

  • Responsible for updating key department documents such as calendars, assets to internal stakeholders with clear usage guidelines.
  • Collect and compile information (data, images, regional/department feedback) to compile reports and presentations.
  • Manage and deliver specific projects within the team, working with colleagues across the globe to ensure excellent collaboration and timely completion.
  • Build and maintain strong relationships across the departments, attending weekly meetings to stay up-to-date about all current projects, trade, issues etc.
  • Support the distribution of gifts and related packaging.
  • Sample sale management support.
  • Support marketing team to manage the product inventory and shipments for all E-Commerce and regional ad-hoc commercial shoots.
  • Support on various brand presentations i.e. Brand Strategy, Seasonal Overviews, Collaboration Pitches, etc.
  • Carry out competitor benchmark reports.

Skills, Experience and Qualifications:

  • Graduate calibre is preferred.
  • Able to work confidently in PowerPoint, Excel, Microsoft Word and Microsoft Office.
  • Demonstrable experience in working under pressure and meeting deadlines.
  • Demonstrable experience in applying initiative and being proactive.
  • Excellent organisational skills with the ability to multi-task and prioritise.
  • Experience in working for a luxury brand in a similar capacity.
  • Previous experience of working as a one-to-one or two-to-one PA or EA to Board-level executives.
  • Excellent attention to detail.
  • Strong communication and interpersonal skills.
  • Confident team player.
