Are you an experienced and detail-oriented Team PA looking to progress into an EA?

As a Team Assistant, you will support the efficient operations of the organisation through diary management and scheduling coordination. If you are a multitasking guru with excellent organisational skills, communication abilities, and a passion for customer service, this is the perfect opportunity for you!

JOB TITLE: Team PA

CONTRACT: Permanent

SALARY: up to £35,000

The key responsibilities include managing internal diaries, scheduling meetings with clients and business development teams, and coordinating external interviews. This involves liaising with stakeholders across multiple time zones, updating schedules, and informing all parties of changes. Responsibilities include:

  1. Diary Management:
  • Manage calendars of Managing Partners, resolving scheduling conflicts to ensure smooth daily operations.
  • Use colour-coding systems and prioritise tasks based on urgency and importance.
  • Update the CRM system with scheduled meetings.
  • Team Coordination:
    • Coordinate travel arrangements including transportation, accommodation, and activities.
    • Support planning and execution of internal and external events such as training, team-building, and seasonal parties.
    • Make reservations for dining and meeting room bookings.

    Experience and Skills:

    • 2-3 years in administrative roles, with emphasis on diary management and supporting senior leadership.
    • Proficiency in Microsoft Office, CRM systems, and scheduling software; basic data entry and document control skills.
    • Excellent organisational skills, attention to detail, and ability to manage multiple priorities under tight deadlines.
    • Exceptional written and verbal communication skills, especially when liaising with senior executives, with a customer service mindset.
    • Flexibility, adaptability, proactive learning, and discretion handling confidential information.
