A leading hedge fund in the City of London is seeking an experienced Administrative Assistant to support the trading team. You will coordinate travel, manage expenses, and assist with presentations and events. The ideal candidate has at least 3 years of experience in a fast-paced environment, exceptional organisational skills, and confidence in dealing with senior stakeholders. This role offers a dynamic work environment with a focus on teamwork.

Qualifications

  • Minimum 3 years’ experience in a fast-paced office environment, preferably in financial services.

Responsibilities

  • Coordinating complex international travel and accommodation.
  • Processing multi-currency expenses.
  • Acting as the go-to for administrative support across the trading team.
  • Booking meeting rooms and managing marketing material orders.
  • Assisting with the creation of PowerPoint presentations and client documents.
  • Supporting the Operations Manager with office projects.
  • Organising team socials and internal events.
  • Managing office supplies and equipment orders.
  • Handling onboarding and offboarding processes.

Responsibilities

What you’ll be doing may vary from day to day. Examples include onboarding a new trader or securing a venue for a high-profile event. Your responsibilities will include:

  • Coordinating complex international travel and accommodation
  • Processing multi-currency expenses
  • Acting as the “go-to” for administrative support across the trading team
  • Booking meeting rooms and managing marketing material orders
  • Assisting with the creation of PowerPoint presentations and client documents
  • Supporting the Operations Manager with office projects (e.g. supplier audits, vendor research)
  • Organising team socials and internal events
  • Managing office supplies and equipment orders
  • Handling onboarding and offboarding processes, including inductions
Qualifications
  • Minimum 3 years’ experience in a fast-paced office environment (financial services experience is a strong advantage)
  • Exceptional organisational skills and attention to detail
  • A collaborative mindset and a proactive approach to problem-solving
  • Confidence working with senior stakeholders and managing multiple priorities
