Team Assistant

We are Eversheds Sutherland, a global law firm, with 5,000+ colleagues in more than 30 countries. We’re full service with deep niche and sector experience. Whatever challenge, wherever in the world, we’re equipped and ready to meet it. We live our values, we’re purposeful and purpose-led. So although the world is fast-moving and rapidly changing, we see it as a place where everyone can thrive. We’re ambitious for our clients, our communities – and for you. • Staying ahead: Anticipate challenges, adapt to changing technologies and look towards the next opportunity.
Skills and experience

We are seeking a dynamic and capable Team Assistant who embodies our commitment to excellence. As a vital member of our team, you’ll contribute to the seamless operation of our Team Assistant Hubs and the wider Practice Group Support function. Here are the key characteristics we value:

  • Previous administrative experience: Whilst not essential, having prior administrative experience within an office environment is an advantage. It demonstrates familiarity with office procedures and protocols.
  • Client service excellence: You’re dedicated to providing an outstanding level of client service at all times. Your interactions with stakeholders and colleagues reflect our commitment to being professional and courteous.
  • Proactive and positive attitude: As a Team Assistant, you approach tasks with enthusiasm. Your positivity contributes to a collaborative work environment.
  • Effective communication and interpersonal skills: Clear communication is essential. You have the ability to convey information and build positive relationships both internally and externally.
  • Initiative and commitment to deliver: You take ownership of your work and proactively seek solutions. Your commitment to delivering results ensures our team’s success.
  • Organisational skills and prioritisation: Being organised and methodical is second nature to you. You efficiently manage your workload, ensuring tasks are completed accurately and on time.
  • Quality awareness and risk management: You understand the importance of quality standards and risk mitigation. Attention to detail and adherence to guidelines are part of your work ethic.
  • Flexibility and adaptability: Our fast paced environment requires adaptability. You embrace change and adjust seamlessly to evolving priorities.
  • Strong team ethic: Collaboration is at the heart of our success. You actively support colleagues, offering assistance where needed.
  • IT proficiency: Basic IT skills are essential. Whether it’s managing emails, using office software including Outlook, Teams and Copilot or navigating digital tools, you’re comfortable in the digital landscape.
Role and key responsibilities

As a Team Assistant, you play a pivotal role in supporting our Practice Groups and contributing to the overall success of our business. Your responsibilities span a diverse range of tasks, all aimed at delivering exceptional client service excellence and ensuring efficient operations. Here’s what you’ll be doing:

  • File management: Opening and closing files, maintaining accurate records. Scheduling, archiving and managing deeds.
  • Administrative support: Photocopying, printing and scanning tasks, collaborating with the Reprographics Team. Assisting with online cash management forms, liaising with the Finance Team.
  • Travel coordination: Conducting research for train, flight and accommodation options.
  • Document preparation: Preparing files and bundles, including indexing and creating e-bibles.
  • Event support: Collaborating with PAs to organise marketing events. Assisting with name badge creation, client greetings and delegate materials.
  • Document management: Profiling documents in iManage. Uploading files to data sites and creating hyperlinks.
  • Ad hoc assistance: Retrieving land and property records from external websites. Booking internal meeting rooms, ensuring smooth coordination. Maintaining client contacts in the firm’s database. Providing additional support as needed across various tasks. Engaging with stakeholders to ensure expectations are met.
  • Remember, as a Team Assistant, you contribute significantly to our operational excellence and client satisfaction. Your role extends beyond routine tasks - you are an essential part of our collaborative success.
