Job description

We are looking for a bright and numerate candidate with experience in billings and payments. Join a friendly, efficient boutique and successful law firm based in St. Paul's. The role offers hybrid working and the chance to be part of a collaborative team!

This position is suitable for someone with at least 1-2 years of office experience, eager to learn more. It involves office administration and casework admin. Ideally, you will have worked in a legal environment or hold a law degree.

Responsibilities include but are not limited to:

  1. Opening client files in the firm’s case management system, Leap, drafting engagement agreements for lawyers’ review, and sending them to clients.
  2. Organizing and scheduling client meetings and consultations for lawyers.
  3. Handling billing and accounting tasks in Leap and Xero, such as invoicing, chasing debtors, processing payments, and updating systems to ensure active clients pay their invoices.
  4. Organizing monthly office lunch meetings and office events like the Christmas party.
  5. Updating the firm’s office manual and handbook annually.
  6. Assisting the Office Manager with onboarding new employees, including sending out the office handbook and liaising with payroll.
  7. Supporting office management projects or research as needed.

The ideal candidate will:

  1. Have experience handling invoices and payments.
  2. Have at least two years of administrative experience in a law firm or professional services environment.
