Job summary

A leading Investment bank is looking for a highly motivated Team Assistant to support the Managing Director and wider team, including coordination of meetings, travel arrangements, and managing correspondence. You will work closely with a team of assistants in a fast-paced environment and require at least 3 years of financial services experience.

Qualifications

  • Minimum 3 years' experience in financial services with 2 years as a Personal or Administrative Assistant.
  • Excellent knowledge of Microsoft Office suite.
  • Professional attitude with high discretion when handling confidential information.

Responsibilities

  • Managing diary and calendar for bankers and coordinating meetings.
  • Booking travel arrangements and managing expenses.
  • Updating office systems and supporting daily team needs.

Team Assistant / PA

St Paul's / Farringdon based (City of London)
5 days in the office


8:30am – 5:30pm

£24-26p/h

A leading Investment bank searching for a highlymotivated Team Assistant to support MD, and wider team EMA – Analyst, Associate, MD in conjunction with 3 other senior assistants and a floor admin


What you'll do

  • Updating and maintaining internal office systems
  • Booking events Working with the team/Assistant team to on board new hires
  • Diary and calendar management for bankers (Associate level+)
  • Coordinating and scheduling of meetings and con calls across multiple time zones
  • Managing high volume of phone calls and emails, relaying information in a timely and accurate manner
  • Coordinating room bookings for internal/external meetings and VCs across multiple locations
  • Coordinating travel arrangements for the team, including visa applications, international flight and accommodation bookings, car bookings
  • Expense management and preparation
  • Taking on ad hoc tasks while maintaining workflow
  • Supporting teams in day-to-day issues, needs and queries
  • Providing phone / holiday coverage for colleagues

Who You Are
  • Minimum 3 years' experience in financial services, of which 2 years of direct experience as either a Personal Assistant or Administrative Assistant, preferably within Banking
  • Excellent knowledge of Microsoft Office suite, particularly Outlook, Word, Excel, PowerPoint and SharePoint
  • Professional, positive, can-do attitude to work
  • Strong communication, excellent telephone manner
  • Ability to be proactive, use initiative and multi-task, as well as prioritise
  • Team player with experience of working in a large team with strong interpersonal and organisational skills
  • High level of discretion/confidentiality when handling sensitive and confidential information
  • Ability to work with different time zones including the Americas, EMEA and Asia

Hours of work:

Monday to Friday, 8:30am to 5:30pm. Flexibility with hours is essential.
