Job description

The post holder will be responsible for providing effective and efficient clerical and administrative support to teams of healthcare professionals. The role involves the coordination and implementation of office procedures and duties, requiring strong organisational skills and excellent knowledge of administrative systems. The post holder will often be the first point of contact for patients and colleagues, serving as a focal point for the service with clear communication and liaison skills. They will manage and prioritise their workload independently and be responsible for managing bowel screening patients through this pathway.

Responsibilities include:

  1. Providing a full range of clerical duties to both clinical and administrative areas, including contact with patients, carers, and healthcare professionals.
  2. Engaging in face-to-face contact with patients when required, primarily communicating via telephone, email, texts, and MyMFT, ensuring patient confidentiality at all times.
  3. Completing and complying with Trust mandatory training requirements.
  4. Using Trust systems to accurately book, record patient details and activities, ensuring timely recording of all patient activities in line with the Trust Patient Access Policy and data quality standards.
  5. Providing a telephone service, answering and recording incoming calls, relaying queries and messages, and liaising with other departments and external organisations as needed.
  6. Once trained, working in accordance with Trust Digital Competence requirements, including the use of Electronic Patient Records, assisting patients with digital systems, and arranging services such as patient transport, interpretation services, porters, clinic appointments, and diagnostic tests, ensuring compliance with deadlines and inputting requests into relevant systems.
