Team Administrator

Exciting opportunity for a Team Administrator to join one of UK's leading Wealth Management and Financial Advisory specialists based in the Spalding area. Main Responsibilities for the successful Team Administrator:

  1. Comply with FCA regulation, Data Protection, and Anti Money Laundering legislation.
  2. Independently manage daily tasks and workload efficiently, working within company turnaround times.
  3. Answer the telephone in a professional manner, dealing with calls where possible, or directing calls appropriately to other staff.
  4. Pick up post from SharePoint and distribute to relevant staff members. Frank and prepare post at the end of the day and take to the Post Office when required.
  5. Deal with administrative tasks such as change of addresses and personal information.
  6. Set up and maintain accurate client records using back-office systems, keeping full and accurate up-to-date notes regarding progress on individual client tasks, actions required, and progress made.
  7. Input client meeting notes and data from paper Fact Finds into Intelliflo accurately and in a timely manner.
  8. Contact and chase product providers for information regarding clients' plans, check information received against a checklist, and progress on actions requested.
  9. Prepare documents needed for adviser client meetings and action adviser requests for information.
  10. Manage Advisor diaries, book and confirm appointments with clients, arrange meeting rooms, and issue confirmation to clients.
  11. Correspond with clients and product providers via email, letter, and telephone, updating client records with notes of all conversations.
  12. Share responsibility for office equipment and supplies, including stationery and printers.

About the successful Team Administrator:

  1. Confident in written and spoken English.
  2. Excellent customer service and communication skills.
  3. Excellent experience of working with Excel and maintaining spreadsheets - accuracy is essential to this role as errors in contributions can result in the companies we look after being fined.
  4. Highly organised with the ability to work under pressure ensuring deadlines are always met.
  5. One to two years' minimum experience of working in financial services.
  6. Knowledge of the Financial industry-related products/back-office systems (Intelligent Office, iPipeline preferred).
