Here at UPP we have an opportunity for an interim Team Administrator to provide proactive administration and project support to functions within the Asset Management Team, underpinning our ability to deliver high quality student accommodation with sector leading occupancy levels.

Supporting and liaising with various committees and teams, with coordination and production of business information, producing insights and reports that aid effective decision making whilst managing technical and commercial delivery / risk.

This is a 9 month Fixed Term Contract to cover maternity leave starting around the 21 July 2025. Based in our award-winning London office with occasional travel to other sites. Our hybrid working policy of 2 days in the office enables a good balance between working from home and the office.

The main responsibilities of the role include:

  • Manage first line team enquiries, team document management and scheduling of activity that supports team operations.
  • Liaise with stakeholders including university partners, funders, consultants, contractors, and other areas of the business, as necessary.
  • Draft and maintain relevant documentation within the team, including defect reporting, asset information, risk registers and trackers.
  • Raise and receipt purchase orders, prepare / process relevant contract documents and administer invoicing using UPP finance and business web-based systems.
  • Take a proactive role in the production of formal and informal management reports covering progress, issues, and risks, including collating data / information from various sources.
  • Draft relevant communications on behalf of the asset management team including presentations.
  • Support the production and processing of formal correspondence including notification letters, liaising with the risk and compliance teams.
  • Plan and organise events such as meetings, workshops, or briefings with relevant stakeholders.
  • Support key committees / meetings within asset management including organising attendees, agenda and paper production, minute taking and action log maintenance
  • Provide direct support to the Asset Management Director and Asset Management team with forward planning and effective meeting management.

We are looking for a highly organised, professional and efficient administrator with experience of working in a fast-paced commercial environment, ideally within a similar industry, focussed on delivering accurate, concise information to a team, including senior management.

Knowledge and experience of Word, Excel, PowerPoint and SharePoint, with the ability to lean and use internal systems and tools as required.

You will have a ‘can do’ attitude with an attention to detail, excellent communication, people, and organisational skills, with the ability to effectively coordinate a busy workload to meet variable deadlines.
