Talent Coordinators play a key role in supporting 1-2 Talent Managers or Senior Talent Managers who represent an exciting roster of clients within the entertainment industry. This involves working collaboratively, proactively and efficiently with the manager(s) to ensure all procured activities run smoothly in addition to supporting new engagements. The role allows for the individual to work autonomously but with guidance from the manager on how to hone their skills. In time they would gain more responsibility that could cover costing up jobs and pitching talent to brands to secure commercial opportunities.

Overview:

  • Talent Coordinators responsibilities include but are not limited to:
  • Curating and booking complex travel plans for clients
  • Diary management for Talent Managers, Senior Talent Managers and Insanity clients
  • Assisting in the running of day-to-day talent campaigns
  • Liaising with talent and supporting on day-to-day management of clients
  • Writing and editing copy, including by using predesigned templates
  • Research duties to include but not limited to, potential clients, brands, social media platforms, research tools, competition
  • Responding to queries and filtering to the appropriate manager
  • Managing databases and maintaining admin systems
  • Raising invoices and keeping job sheets up to date
  • Talent Coordinators are encouraged to input into department meetings, introducing opportunities for wider team members and sharing key industry knowledge and insights where relevant. Input is encouraged from the whole team to share learnings.
  • Talent Coordinators should work towards establishing their own relationships with stakeholders from across the entertainment industry - working with their manager to build their own contact book. They should ideally have experience in liaising between internal and external stakeholders.
  • Talent Coordinators may progress to an Associate Talent Manager position over time once objectives are consistently exceeded.

Key Responsibilities:

  • Administrative Tasks: to handle day-to-day administrative tasks, including scheduling, gifting, travel arrangements, campaign management, content delivery, legal agreements (including working diligently and collaboratively with the legal team) and promptly and accurately raising invoice requests on the company’s invoice request system and responding promptly to any queries from the finance team.
  • Client Development: support Talent Managers and Senior Talent Managers to implement strategic career plans for talent across different verticals, which may include (but is not limited to) broadcast opportunities, brand campaigns, hosting opportunities and Intellectual Property projects (such as client owned brands or TV format development).
  • Contract Negotiation: Talent Coordinators would support their immediate managers contract negotiation for deals on behalf of talent, they would use best practice in line with the wider company’s objectives to achieve a high benchmark of terms across the company roster. Where applicable they will work collaboratively with the company’s internal Business Affairs team on these agreements.
  • Industry Networking: to work towards building strong professional relationships with industry professionals and key stakeholders across the industry.
  • Opportunity Sourcing: developing skills to identify opportunities for talent, such as brand partnerships, endorsements and collaborations. This requires proactive outreach and strategic out the box thinking in collaboration with the Talent or Senior Talent Manager.
  • Brand Management: develop the skills and awareness needed to manage the public image and personal brand for the talent that you are supporting, including social media presence and public appearances, with a keen eye on long term strategy.
  • Peer to peer learning: being open to coaching by fellow colleagues in certain areas for development, in addition to sharing relevant experience and skills to support others.
  • Shared Resilience: Talent Coordinators will regularly seek counsel from more senior colleagues to develop their skillset to understand issues or opportunities outside of their experience.
  • Conflict Resolution: in time, with support from senior colleagues, or company Directors (where applicable), work to address and resolve any issues or conflicts that arise between talent and stakeholders.
  • Managing Business Risk: by flagging key issues early on with line manager(s), company Directors or colleagues in the Business Affairs team and knowing when to ‘report up’.
  • To Promote Environmental Sustainability:

  • by identifying opportunities to reduce our carbon footprint and implementing sustainable initiatives.
  • To Support Social Responsibility Initiatives:
  • by contributing to corporate social responsibility (CSR) programs and initiatives.
  • by fostering diversity, equity, and inclusion within the workplace.
  • To Ensure Good Governance Practices:
  • by adhering to ethical business practices and promoting a culture of integrity.
  • by complying with relevant regulations and industry standards.
  • To Stay Informed on ESG Trends and Best Practices:
  • by staying up to date on emerging ESG regulations and best practices.
  • by sharing knowledge and insights with colleagues to promote continuous improvement in ESG practices.

Qualifications & Skills:

  • Minimum of 2 years’ experience in entertainment (ideally in talent management), or a related industry.
  • Excellent communication and interpersonal skills.
  • Show flair with understanding negotiation and contract management skills.
  • Good foundation level of relationships and contacts across the entertainment industry.
  • Ability to manage multiple talent and projects simultaneously, in conjunction with a line manager.
  • Proficiency in social media platforms and brand management.
  • Strong organisational and time management skills and a strong attention to detail.
