Role: Talent Acquisition Administrator (FTC - 3 Months)

Department: HR

Reports to: Talent and Employer Brand Manager

Key Relationships: Recruitment Specialists, Store Managers, Senior Store Managers, Area Managers, Head of Retail, local and global HR team, LHO stakeholders

You will support the wider Talent team on all hiring activities for retail recruitment across the UK and Ireland during the peak period. This is a fixed-term contract starting September 2025. The role requires a detail-oriented administrator with a keen eye for quality talent sourcing, particularly for holiday helpers. You will work closely with three Recruitment Specialists who will mentor you and provide exposure to recruitment processes.

This role requires presence in our central London office 4 days a week, with Tuesday & Thursday as anchor days for team connection.

Job Description

Responsibilities:

  • Manage all recruitment admin for the Christmas season, including inbox management and job postings on Smart Recruiters for 'Christmas Helpers.'
  • Provide additional advertising support for stores as needed (e.g., LinkedIn).
  • Support end-to-end recruitment processes: job postings, candidate screening, interview coordination, offer administration for peak season roles in Retail, Wholesale, and Travel Retail.
  • Assist Recruitment Specialists with organising recruitment events, career fairs, and employer branding initiatives.
  • Maintain strong candidate relationships and ensure clear, engaging communication for a positive candidate experience.
  • Provide updates and support to managers to facilitate smooth recruitment processes.
  • Ensure quick and quality candidate journeys, focusing on time-to-hire and candidate quality.
  • Manage inbox for vacancy requests and candidate interactions.
  • Maintain Recruitment SLAs.

Qualifications

Background & Experience:

  • Intermediate knowledge of recruitment flow and candidate journey.
  • Familiarity with ATS systems; experience with Smart Recruiters is preferred.
  • Excellent organisational skills and keen attention to detail.
  • At least 1 year of experience in retail and 1 year in a highly administrative role.
  • Articulate with strong written communication skills.
  • Efficient organisational skills, a good sense of humour, empathy, and a strong work ethic.
  • Open to feedback and continuous improvement.
  • Proficient in Microsoft Office, especially Excel (Intermediate level).
  • Customer-centric mindset.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Passion for creating positive candidate experiences and promoting employer branding.
