Full Job Description

Talent Acquisition and HR Assistant

As our Talent Acquisition and HR Assistant, you will play a key role in supporting our talent acquisition efforts by sourcing, attracting, and helping to hire top talent for various positions across Luminous. You will be a trustworthy individual who deals with confidential information with the strictest of confidence.

You will work closely with the HR Manager and other Senior members of the Leadership team to understand recruitment needs and help build a strong pipeline of qualified candidates. This is an excellent opportunity for someone who is passionate about recruitment and looking to grow their career in talent acquisition, as well as learn and develop new skills in HR.

You will have a passion for fostering a productive and positive work environment and will provide administrative support for the HR Manager across various HR functions, including employee records management and HR compliance. This role is essential in ensuring the smooth and efficient operation of the HR department.

We are flexible about this being a full or part-time role.

Key Responsibilities
Talent Acquisition:
  • Source candidates through various channels, including LinkedIn, online job boards, social media, and internally.
  • Build a pipeline of candidates on LinkedIn Recruiter for all roles across our teams.
  • Review resumes and applications and schedule interviews with candidates and team members.
  • Create, maintain, and update an applicant tracking system (ATS) with candidate information and recruitment activity.
  • Create a database of our competitors.
  • Assist in the development and implementation of recruitment strategies to attract diverse and qualified candidates.
  • Support the Head of People with onboarding processes for new hires.
  • Collaborate with members of the Senior Leadership team (hiring managers) to understand their team's needs and provide regular updates on the recruitment process.
  • Assist in preparing job descriptions and interview questions that reflect the requirements for each position.
  • Provide a positive candidate experience by ensuring timely communication in our warm Luminous tone.
  • Provide constructive and sensitive feedback to unsuccessful candidates.
  • Conduct initial screening calls with potential candidates, ensuring they receive a great first impression of what it’s like to work for Luminous.
Human Resources Support
  • Assist with day-to-day operations of the HR function and provide ongoing support for the Head of People.
  • Run HR induction sessions for new starters.
  • Maintain employee records on our HRIS.
  • Assist in payroll preparation by uploading payslips on our HRIS.
  • Assist in the preparation of HR reports by collecting relevant data.
What are we looking for?
  • Previous experience working with LinkedIn Recruiter is desired but not essential.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and excellent attention to detail.
  • Ability to work autonomously and handle multiple tasks simultaneously.
  • Proactive and self-motivated with a desire to learn and grow in your role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Previous experience working as a Junior Talent Acquisition or administrative assistant is desired but not essential.
  • Bachelor’s degree is desired but not essential.
