GENERAL SUMMARY
The Surgery Scheduler schedules and preauthorizes surgeries and specialized procedures for the physician/medical practice, including the scheduling of follow-up appointments in the office. The Surgery Scheduler reviews pre-op tests, medications, allergies, and medical history with patients. Understands insurances and manages pre-certifications required for benefits. The Scheduler must respond promptly and accurately to written and oral correspondence regarding scheduling changes or cancellations. The role requires multitasking and handling obstacles with excellent customer service skills.
Responsibilities Include But Are Not Limited To
- Scheduling office, surgery centers, and hospital-based procedures with appropriate provider and time/location, using proper codes.
- Pre-authorizing surgeries through insurance and scheduling procedures at designated facilities, accurately entering data into the system.
- Maintaining a surgical log for statistical purposes.
- Providing pre-surgical packets to patients with confirmed dates and pre-operative instructions.
- Coordinating with surgical facilities for any special equipment or personnel needed.
- Ensuring pre-operative labs are ordered, tracked, and scanned into the patient's electronic medical record.
- Using clinical knowledge to ensure appointments align with diagnoses and provider indications.
- Auditing the automated phone system daily to ensure call information is correct and schedules are updated.
- Verifying scheduling accuracy before publication.
- Collaborating with surgery centers and hospital staff to ensure cohesive patient care services.
- Treating patients and referring physicians with courtesy and respect in all interactions.
- Maintaining patient confidentiality.
- Performing other duties as assigned.
- Adhering to high ethical standards and compliance with all laws, regulations, and organizational policies, including HIPAA, Solaris Health Code of Conduct, and Annual Compliance Training.

Knowledge, Skills, Abilities
- Knowledge of healthcare systems, EMR, medical terminology, healthcare coding, and clinic functions.
- Understanding of governmental regulations, Medicare, Medicaid, and third-party payers.
- Exceptional patient service skills and communication abilities.
- Strong organizational skills and attention to detail.
- Customer-oriented, calm under pressure.
- Proficiency in Microsoft Office and other computer applications.
- Ability to build empathetic relationships with patients, work independently, manage deadlines, and cooperate with team members.

Education Requirements
High School Diploma or equivalent
Experience Requirements
Minimum of one year scheduling experience in a surgery center or medical office setting.
Physical Demands
