We are excited to offer a unique opportunity for a proactive and enthusiastic Supply Chain Coordinator to join our Procurement & Supply Chain Team as we expand our service provision into Cardiopulmonary at Worcester Royal Hospital.

Main duties of the job

In this pivotal role, you will oversee day-to-day supply chain activities, ensuring efficient management of stock, timely delivery of goods, and smooth operational support for clinical and non-clinical departments.

As a Supply Chain Coordinator, you will play a vital part in maintaining high standards of service, driving continuous improvement, and supporting patient care through effective supply chain management.

DBS Checks and Costs

Job responsibilities
  • Deal/distribute any post or incoming correspondence within the Supply Chain section.
  • To take receipt, sign for, and book in delivered goods whilst reporting any discrepancies and taking the appropriate corrective action, liaising with suppliers when items do not arrive as expected.
  • To undertake activities regarding stock movement analysis and re-order level assessment in conjunction with user requirements.
  • To advise and agree upon replenishment levels with authorised staff in accordance with agreed procedures as part of the Supply Chain Review Programme.
  • To deliver goods to their correct end destination and obtain a signed delivery note where applicable.
  • To continually develop and improve relationships within internal customers through regular personal contact, developing knowledge of medical and surgical consumables to facilitate the Supply Chain Review Programme.
  • To monitor and control replenishment levels, in-house and at ward level. To order and maintain optimum stock levels and replenish via economic ordering quantities. Data is to be captured via the use of the handheld PDA and transmitted to the relevant stock management or inventory management system.
  • Be aware of and adhere to the correct ethics in transacting in public business. Display a high standard of conduct and a professional approach when in contact with internal and external customers.
  • To move and distribute materials using appropriate manual handling equipment, observing Health and Safety Procedures at all times.
  • To put away top-up items into agreed stock location, ensuring stock rotation of goods.
  • To operate mechanical aids responsibly and safely, keeping equipment and working areas safe, clean, and tidy, ensuring compliance with Health and Safety Procedures. Non-compliance to be reported to the line manager.
  • To carry out stock-taking duties in relevant areas.
  • Issue stock to internal and external sites adhering to prescribed procedures to facilitate the costing of materials to the appropriate area.
  • To maintain systems for filing delivery notes and associated paperwork.
  • To participate in training sessions to assist in personal and departmental development.
  • To train, educate, and guide Trust personnel on ordering procedures, especially in light of changing circumstances.
  • To monitor contract compliance and advise Requisitioners on the most efficient ordering procedures while adhering to Trust policies.
  • Carry out Supply Chain staff relief duties at other locations as required.
  • Deal with queries professionally and efficiently, promoting a get-it-right-first-time ethos.
  • To arrange the return of products according to prescribed procedures, liaising with customers and suppliers, obtaining relevant authorisation, and packing items for dispatch when appropriate.
  • To organise and prioritise workloads with competing deadlines efficiently.
  • Provide advice and information to internal customers regarding stock management and product availability via email, telephone, virtual, and face-to-face meetings.
  • Use reporting programmes to interrogate systems for product analysis and provide usage data for budget holders.
  • Be responsible for the security of goods, equipment, and materials within the materials management environment.
  • Assist in the implementation of new product ranges on top-up as advised by senior staff, as part of the Trust Savings Work Plan.
  • Contribute to the efficiency of the section by embracing the core values of the Departmental Strategy and providing the level of service to meet departmental objectives as defined by Senior Management. Flexibility in approach is required due to the dynamic NHS environment.
  • Ensure stock rooms are kept clean and tidy, free from debris, in line with Infection Control policies. Abide by Trust SFIs and ensure adequate controls are in place regarding ordering goods.
