Job description

We are seeking a proactive and detail-oriented Supplies and Office Support Assistant to manage the receipt, dispatch, and tracking of goods while supporting general office administration tasks. The successful candidate will play a key role in ensuring smooth day-to-day operations, maintaining inventory accuracy, and supporting internal stakeholders across departments at our Paignton office.

Key Responsibilities

Goods Receipt & Handling:

  • Receipt of goods from front desk, checking of contents against delivery notes and purchase orders and logging the items received in our system
  • Manage any returns or follow up on goods missing or damaged
  • Liaise with the engineering team to notify them of receipt of goods and arranging the asset tagging of relevant goods

Shipping & Returns

  • Prepare and pack goods for shipment to suppliers, customers, or other company locations.
  • Generate and manage shipping documentation.
  • Schedule shipments with couriers (e.g. DHL) and track delivery status.
  • Coordinate product returns under warranty, ensuring proper documentation and communication with suppliers.

Supplier Coordination

  • Monitor outstanding purchase orders and follow up with suppliers to ensure timely delivery.
  • Keep internal stakeholders informed of delivery status and any delays.

Office Administration Support

  • Manage ordering of day-to-day office consumables and supplies, including catering for meetings.
  • Handle travel arrangements, including taxi bookings and occasional accommodation requests.
  • Support front-of-house duties if we relocate to a new facility, including welcoming guests and managing incoming deliveries.
