Role Purpose
This role is both Strategic and Operational and with the mandate and authority to make a big impact.
The Supplier, Contract & Procurement Manager is accountable for extracting maximum value from the company’s global supplier base — consistently driving up quality, driving down costs, and ensuring suppliers and subcontractors deliver to the highest standards. This role covers end-to-end supplier and contract management, multi-sourcing strategies to protect supply continuity, global procurement with a focus on Kappture-specific hardware, and the sub-contracting of installation projects for frictionless store solutions.
A critical priority is to transition Kappture hardware manufacturing — currently produced in China — to one or more contracted UK-based third-party suppliers, reducing operational involvement, increasing quality assurance, and shifting manufacturing, warranty, delivery, and demand-variability risk away from the business. Across all categories, the role ensures maximum
transference of operational, commercial, and demand risk to suppliers and subcontractors, securing the best commercial terms, safeguarding delivery, and ensuring every pound spent delivers measurable return.
Key Responsibilities
Supplier & Contract Management
- Own the complete supplier lifecycle — from identification and onboarding through to renewal or exit — with a relentless focus on performance, cost efficiency, quality, and risk transfer.
- Negotiate robust contracts that push liability, warranty obligations, delivery risk, and demand fluctuation responsibility onto suppliers wherever commercially feasible.
- Enforce service level agreements and performance KPIs, holding suppliers to account through regular review meetings and corrective action plans.
- Reduce dependency on single suppliers through planned multi-sourcing, ensuring resilience and competitive tension in all key categories, including hardware manufacturing.
- Eliminate underperforming or high-cost suppliers, replacing them with proven high-quality alternatives.
- Maintain a live, centralised contract register with critical dates, commercial terms, and renewal triggers to avoid missed opportunities.
- Lead competitive tenders and RFP processes, ensuring maximum value for money and alignment with business requirements.
- Continuously scan the market for emerging suppliers, technologies, and cost-saving opportunities.
Procurement (Global, with Hardware Focus)
- Lead procurement strategy for Kappture-specific hardware, transitioning manufacturing from current China-based suppliers to one or more UK-based third parties under multi-sourced agreements to ensure resilience, quality, and cost competitiveness.
- Ensure complete transfer of manufacturing, warranty, delivery, and demand-variability risk to contracted suppliers.
- Manage global procurement of goods, services, software, and hardware to secure best value without compromising quality or delivery.
- Implement rigorous procurement governance, spend controls, and multi-sourcing approaches to prevent supply chain disruption.
- Negotiate volume discounts, preferential pricing, and extended payment terms to improve cash flow and profitability.
- Maintain category strategies that balance cost savings with supply resilience, quality assurance, and supplier diversity.
- Structure supplier agreements to absorb peaks and troughs in demand, avoiding cost exposure to Kappture during low-activity periods.
- Optimise freight, logistics, and import/export processes to minimise landed cost and lead times.
- Deliver clear spend analysis, savings tracking, and procurement dashboards to the CCO.
Sub-Contracting – Checkout-Free Store Installations & Services Outsourcing
- Source, pre-qualify, and manage subcontractors for installation projects, ensuring technical competence, cost-effectiveness, and quality of work.
- Negotiate and enforce subcontractor agreements with clear deliverables, penalties for non-performance, and strict adherence to timelines.
- Maintain a high-performing pool of approved subcontractors for rapid mobilisation on new projects.
- Use multi-sourcing where appropriate to avoid capacity bottlenecks and ensure competitive pricing.
- Audit subcontractor work on-site to confirm it meets quality, specification, and safety requirements.
- Ensure subcontractor agreements transfer delivery scheduling risk and any cost impact of demand variability away from Kappture.
Governance & Risk Management
- Enforce compliance with legal, regulatory, and ethical procurement standards globally.
- Ensure all suppliers and subcontractors maintain up-to-date insurance, certifications, and health & safety compliance.
- Develop and maintain a supplier risk register, tracking potential disruptions, financial stability, geopolitical issues, and compliance gaps.
- Implement contingency plans and alternate sourcing strategies to maintain operational continuity.
- Actively embed risk transference — including demand fluctuation, production delays, warranty exposure, and delivery risk — into all supplier and subcontractor agreements.
- Support due diligence activities for corporate transactions and major customer agreements.
Continuous Improvement & Value Delivery
- Drive supplier-led innovation to enhance quality, reduce cost, and shorten delivery timelines.
- Benchmark procurement practices against industry leaders and adopt best-in-class methods.
- Implement cost-reduction programmes without sacrificing service quality or customer experience.
- Partner with internal stakeholders to forecast demand accurately, reducing urgent buys and premium freight costs.
Authority & Decision-Making
The Supplier, Contract & Procurement Manager has the authority to:
- Approve or reject suppliers and subcontractors based on capability, cost, quality, and risk profile.
- Terminate supplier or subcontractor agreements that fail to meet contractual obligations or present unacceptable risk.
- Negotiate and sign supplier contracts within delegated financial limits, ensuring risk transference, multi-sourcing where required, and cost efficiency.
- Escalate and recommend changes to high-value or strategic contracts directly to the CCO.
- Approve multi-sourcing arrangements to ensure resilience and competitive tension.
- Halt procurement or subcontracting activity that exposes the business to demand-variability risk, quality shortfall, or cost escalation.
Mandate for the Role
Within the first 12 months, the Supplier, Contract & Procurement Manager will:
- Successfully complete the transition of Kappture-specific hardware manufacturing from China to one or more contracted UK-based third parties, embedding multi-sourcing for resilience and competitive pricing.
- Implement procurement strategies and supplier agreements that deliver measurable margin improvement through cost reduction, efficiency gains, and supplier-funded value-add — ensuring the role more than pays for itself.
- Ensure 100% of suppliers and subcontractors are under active contracts with clear SLAs, KPIs, and demand-absorption clauses where applicable.
- Build and implement a global procurement governance framework with embedded risk management and risk transference processes adopted across all business units.
- Establish a preferred, multi-sourced supplier network capable of meeting all delivery, cost, and quality standards for current and forecasted demand without exposing Kappture to seasonal or project-based demand swings.
Profitability Impact Tracking
The success of this role will be measured on its direct and indirect impact to company profitability, tracked through:
- Cost Savings – measurable reductions in spend achieved through re-sourcing, re-negotiation, and competitive supplier arrangements.
- Margin Improvement – uplift in gross margin attributable to reduced input costs, optimised supplier terms, and better demand risk management.
- Risk Avoidance – quantified value of avoided costs from supplier non-performance, demand swings, quality issues, and warranty claims shifted to suppliers.
- Operational Efficiency Gains – financial value from reduced internal resource time spent managing suppliers, deliveries, and quality escalations.
- Supplier-Funded Value – rebates, marketing funds, warranty cover, and service credits negotiated as part of supplier relationships.
Experience, Qualifications And Skills
- Proven success in supplier, subcontractor & contract management at a senior level
- Procurement management success at a senior level from strategy to implementation and management
- Demonstrable experience in successfully reducing costs and increasing profit
- Sound risk management experience
- Proven governance experience, illustrating the management of compliance with legal, regulatory, and ethical procurement standards globally
- Extensive experience in developing and managing procurement strategies and supplier agreements
- Experience in sourcing and transferring manufacturing suppliers. If gained from moving supplier from abroad to the UK, this would be an advantage
- Experience of building and managing a preferred, multi-sourced supplier network
- Experience of building and managing subcontractor agreements and deliverables
- A drive to continuously improve, with a focus on cost, quality, value, delivery & risk management
