Job description

Are you looking to be the driving force behind Studio Operations? We're looking for a highly motivated and detail-driven Operations Assistant to join our lively team and help keep the heartbeat of the studios running smoothly. Supporting the Operations Manager and Coordinators, you'll play a vital role in ensuring seamless activity across our stages, workshops, and backlot areas, where creativity meets logistics and every day brings something new. From managing internal communications and enforcing studio policies to reviewing production schedules and distributing key shoot information, you'll be right at the centre of the action. You'll help coordinate site logistics, respond to real-time studio needs, and keep everything moving. You'll need to be confident working both in the office and out on site, juggling multiple priorities while contributing to a safe, professional, and efficient studio experience. If you're passionate about operations, logistics, and the behind-the-scenes magic that makes productions possible, we'd love to hear from you!

  • Collaborate with colleagues to ensure consistent, clear communication, operational coverage, and seamless support across all areas of the site.
  • Provide proactive operational support to production clients by offering solutions and site-wide guidance.
  • Support the Coordinators and Management team by documenting and communicating production movement and forecasted activity to relevant WB departments.
  • Maintain a visible operational presence on the lot, proactively supporting clients, enforcing studio policies, and ensuring site housekeeping standards across the studio and backlot areas are met.
  • Facilitate the New Hire and End Hire processes by preparing stage landlord checks, coordinating walkthroughs, and delivering stage inductions.
  • Enforce the Vehicle Management Policy, providing training to productions, actively monitoring vehicle compliance, and addressing any parking breaches to maintain a safe and organised lot.
  • Assist with backlot operations, including notifying stakeholders for scheduled SFX activity, archiving SFX documentation, and ensuring compliance with relevant protocols.
  • Prepare and deliver Mini Operation Handbook and On-lot Training sessions to new productions.
  • Conduct weekly inspections of temporary structures and utilities usage across the site, inputting accurate data into internal systems for billing purposes.
  • Work directly with productions to forecast crew numbers during prep, shoot, and strike phases, enabling accurate planning for overflow parking and site resource allocation.
  • Computer literate, particularly in Microsoft Office and Outlook, with the ability to learn new systems specific to the job role and department.
  • Previous knowledge of/or an interest in the media, film, or events industry.
  • Previous experience working in an administrative role.
  • Knowledge and practical application of basic health and safety.
  • Full UK Driving Licence
