Role Overview

We are looking for a motivated Studio Assistant to join our growing team. This role involves providing essential operational and financial support to the studio, ensuring the smooth day-to-day running of internal systems and studio life. Working closely with the Chief of Staff, this role supports the broader team by maintaining high organizational standards, handling logistics, and helping ensure that the studio functions efficiently – especially when senior staff are working offsite of abroad.

Key Responsibilities

Studio Operations & Administration

  • Serve as the first point of contact for daily studio operations, including handling premises operations, communicating with suppliers, and scheduling meetings.
  • Maintain organized systems across digital filing, shared drives, and supplier/vendor records.
  • Order office supplies and subsistence (e.g. stationary, snacks, drinks) and manage stock levels on a weekly basis.
  • Run occasional local errands, including trips to the post office, shops or courier drop offs as required.
  • Greet clients and visitors in a professional, friendly manner; ensure meeting spaces are prepared.
  • Maintain an up-to-date studio calendar, keeping internal deadlines visible and trackable.
  • Assist with onboarding freelancers, interns, and new hires (excluding contracts or annual leave tracking).
  • Coordinate internal and external operational meetings, including setting agendas, note taking, and follow up actions.

Finance Support

  • Reconcile company credit cards and bank accounts monthly.
  • Process purchase orders and expenses and follow up on timesheet submissions.
  • Support accounts payable and receivable tasks, including invoicing, payments, and credit control.
  • Assist in the preparation of financial reports and liaise with external accountants.
  • Help monitor cash flow and support the creation of budget tracking documents.

Director & Chief of Staff Support

  • General support and organization.
  • Keep the Director’s office tidy and assist with maintaining a clean, organised studio environment.
  • Act as a primary point of contact when the Director/Chief of Staff is offsite, including greeting visitors, handling urgent issues, and maintaining smooth operations.
  • Provide ad hoc support as needed – booking, logistics, research, or occasional client-facing tasks.
  • Support the Chief of Staff with managing director’s diaries, scheduling meetings, and assisting with travel preparations for senior team members.
  • Assist the Chief of Staff with upholding the studio culture and environment by coordinating team socials, birthdays, and general workplace upkeep.
  • Proven experience in administrative and finance support roles.
  • Confident with spreadsheets and able to produce clear, structured reports.
  • Comfortable using Office 365 tools (particularly Excel) and cloud-based filing/sharing platforms (WeTransfer, etc.).
  • Experience with finance tools such as Xero is a strong advantage, but also not vital.
  • Confidence when communicating with suppliers, clients, and internal stakeholders alike.
  • Experience with social media and newsletter formatting is beneficial, but not imperative.
  • High initiative and positive attitude, particularly when under pressure.
  • Warm, approachable, and professional communication style.
  • Practical problem solver – notices issues and takes ownership to resolve them.
  • Analytical mindset, capable or working through complex tasks in an efficient, systematic manner.
  • Able to handle confidential and sensitive information with care.
  • Ideally familiar with the creative industry, especially design or architecture studios, but not imperative.
  • Well presented with a polished, professional manner. Comfortable representing the studio to clients, visitors, and suppliers.
