A local council in Uxbridge is seeking a Student Services Officer to oversee Adult Learning courses. The role involves supporting learners, managing course logistics, and ensuring compliance with funding regulations. About the role
The Student Services Officer will ensure the efficient operation of Adult Learning courses, both at the Centre and at outreach venues. This includes supporting learners and managing course logistics to ensure successful completion and securing public funding.
As part of the Student Services Team, this role requires travelling between centres, supporting learners from enrolment to course completion while adhering to eligibility rules and maintaining accurate data.
Key Responsibilities:
People Management:
Provide guidance to new and existing learners, ensuring they understand enrolment and eligibility criteria.
Support curriculum staff, particularly sessional staff, ensuring effective communication and coordination.
Contribute to the induction and training of new staff members, promoting best practices.
Resident & Community Contribution:
Deliver a high standard of customer care through face-to-face, telephone, and written communication with learners and stakeholders.
Play an active role in service-organized events, contributing to planning and delivery.
Maintain and uphold the principles of equality and diversity in all aspects of the role.
Operational Service Delivery:
Oversee the day-to-day management of Adult Learning Centres and ensure safety and security procedures are followed.
Accurately input data and manage learner details to meet funding requirements.
Monitor learner attendance and follow up on outstanding information to ensure compliance with funding rules.
Ensure all necessary course-specific documents are prepared on time and assist with exam and assessment administration.
Service Planning & Development:
Maintain data integrity and contribute to curriculum planning and service reviews.
Effectively manage resources, ensuring learner needs are met in line with the curriculum plan.
Monitor your contribution to the Team Plan and continuously improve service delivery.
Financial & Resource Management:
Process payments from learners and maintain accurate financial records.
Ensure timely procurement of course materials and other resources, adhering to council procedures.
Identify cost-effective changes in service delivery.
Continuous Improvement:
Stay up to date with Skills Funding Agency rules and internal procedures.
Share knowledge and best practices with colleagues to improve service consistency.
Suggest improvements for service efficiency and customer satisfaction.
Contacts:
Daily contact with learners, staff, sessional tutors, and external partners, including schools and community organizations.
Additional Responsibilities:
Act as an exam invigilator when required and cover for other staff as needed.
Ensure compliance with HACL procedures and safeguarding policies.
