Overview

The Student Registry is seeking 2 temporary Support Assistants to work with the Student Records Team and undertake a variety of administrative tasks in advance of the 2025/26 academic year.

Located in the Students' Union Building, at the heart of the main University Campus, the Student Registry is responsible for critical student administration processes which enable students to begin, progress with, and complete their studies at the University.

Our areas of responsibility include the delivery and development of core institutional processes; student registration, changes to student records, fees and funding, formal examinations, results and awards processing, transcript issuing, engagement and attendance monitoring, and student formal procedures. It is responsible for delivering high quality services to students across the aforementioned areas and for working with colleagues in faculties and academic departments to ensure consistency of practice across the institution.

Main Duties And Responsibilities

  • Daily logging the receipt of change of status forms on the Faculty Trackers and monitoring the progress of the forms.
  • Assisting with the processing of standard change of status forms (e.g. withdrawals, change of programme, leave of absence).
  • Assisting with other activities associated with the change of status process, e.g. reporting to the Student Loans Company, sending standard confirmation emails to students when the change of status form has been processed, e-filing.
  • Responding to enquiries from staff and students.
  • Working collaboratively with colleagues across the Student Registry Service to respond effectively and comprehensively to enquiries from students and staff.
  • Supporting core administrative processes using excellent IT and organisational skills to ensure work is completed accurately and efficiently.
  • Maintain and update student records using University IT systems and databases.
  • Attend relevant departmental meetings.
  • Carry out other duties, commensurate with the grade and remit of the post.

  • Previous experience of data inputting and processing [assessed at: application, interview]
  • An awareness of the importance of the General Data Protection Regulation and handling confidential information [assessed at: application, interview]
  • Proven IT skills, with experience of working with databases, email and the internet, and the ability to learn how to use new software [assessed at: application, interview]
  • The ability to learn and retain important information and guidance [assessed at: application]
  • The ability to maintain an excellent level of accuracy when processing data and have an eye for detail more generally [assessed at: application, interview]
  • Excellent interpersonal skills and the ability to communicate confidently with people from a variety of backgrounds [assessed at: interview]
  • Ability to work effectively and flexibly in a team environment, but also able to work independently, in accordance with departmental objectives and team deadlines [assessed at: application, interview]
  • Strong organisational skills, with the ability to work well under pressure and to tight deadlines whilst maintaining attention to detail [assessed at: interview]
