Contract Type: 12 month fixed-term contract

Work Pattern: 3 days in the office, 2 days working from home

Summary of our opportunity

The Operations team consist of 85 employees, based out of the New York, Luxembourg, Sydney, Paris, Warsaw and our head office in London.

Reporting into the Associate Director, this position is primarily responsible for leading the transition of funds/entities investing in Private Debt and Real Estate between Third Party Administrators (TPAs) by establishing project governance, executing a detailed project plan, and managing risks, issues, and interdependencies and providing the technical expertise on critical accounting judgements as and when needed. This role involves coordinating with internal and external stakeholders, overseeing the seamless transfer of operations between TPAs, ensuring accuracy of records, compliance and minimal disruption to stakeholders.

Primary responsibilities for this role include (but are not limited to):

TPA Transition Project Management:
  • Supporting the development and maintenance of a detailed project plan together with the incoming and outgoing Third Party Administrators including clearly defined milestones with clear exit criteria, creating and maintaining a risk & issues log, identifying interdependencies with other workstreams in the programme and other ICG projects.
  • Leading the technical workstream with the Third Party Administrators and other Suppliers in managing the transfer of entities.
  • Collaborating with internal stakeholders and TPAs to align objectives and expectations.

Data Migration:
  • Ensuring accurate and timely migration of fund accounting data, including financial records, investor reports, NAV calculations and transaction histories.
  • Validating completeness and accuracy of migrated data, conducting reconciliation checks to mitigate discrepancies.
  • Coordinating testing and parallel runs to confirm the integrity of financial reporting under the new service provider.

Stakeholder Management:
  • Liaising with internal stakeholders impacted by the project such as Fund Accounting team; Investment Operations team, Deal team and so on to ensure smooth operational handover with new service provider.
  • Documenting updated workflows, roles and procedures post transition and sharing updated with all stakeholders.
  • Managing the transition of relevant systems and improvements; Validating completeness and accuracy of migrated data, conducting reconciliation checks to mitigate discrepancies.
  • Coordinating the testing and parallel runs to confirm the integrity of financial reporting under the new service provider.

Quality and Risk Management:
  • Identifying, assessing and mitigating risks associated with the transition, including regulatory, operational and financial risks.
  • Maintaining a risk and issues log with the aim to put forward remediation strategies.
  • Ensuring adherence to regulatory requirements throughout the transition.
  • Facilitating post-transition monitoring, reporting and issue resolution.

Other Projects:
  • There will also be an opportunity to assist in other workstreams under Strategy & Governance and any other ad-hoc projects run by the firm/Operations team.

Key Requirements/ Qualifications

You will have demonstrable experience of:

  • BSc/Ba - Preferably with ACA, CIMA, ACCA
  • Experience in Private Equity and Real Estate with exposure to IFRS and Lux GAAP.
  • Extensive experience (5 years+) in either Fund Administration, Private Equity & Venture Capital, Asset Management or Project Management
  • Very strong team player who is happy to work in a collegiate and consultative manner.
  • Expertise in financial controls, data validation, and reconciliation processes.
