A strategic workforce body for NHS Wales seeks an experienced administrator to support the Strategic Workforce Planning Team. Responsibilities include managing budgets, organizing events, and providing project support. The ideal candidate has excellent organizational skills and experience in administrative processes. This role offers a full-time contract for 6 months, located in Cardiff.
Job summary
Due to a forthcoming secondment within our administrative function, we require an experienced and effective administrator to provide comprehensive business, administrative and project management support to the Strategic Workforce Planning Team for a period of 6 months.
Who are we?
Part of the Workforce & OD Directorate, the Strategic Workforce Planning Team is a small team which has both an internal and external focus. One of our core functions is to build capacity, capability and confidence to undertake workforce planning within HEIW and across NHS Wales.
Most recently, we launched the Strategic Workforce Planning Hub to strengthen the organisation's role as the reliable and consistent source of workforce intelligence for NHS Wales.
Core Duties of the Role & who we're looking for
We're looking for an experienced business manager or administrator to keep us organised and on track to deliver our programme of work. You will deploy your excellent organisational and time management skills to plan and arrange meetings and diaries, and to ensure that actions are delivered. You will work closely with the Assistant Director of Strategic Workforce Planning and senior team members.
You will be resilient and resourceful, with effective communication and interpersonal skills, and be able to build strong relationships with a range of internal and external stakeholders across a range of different networks and professional groups.
Main duties of the jobYou will have excellent digital skills and will be responsible for ensuring that all new workforce planning tools and resources are uploaded onto a range of platforms including the Strategic Workforce Planning Hub. You will also monitor and report on the usage of resources, helping us to extend our reach by ensuring that our tools are accessible and promoted, using our internal communications plan to share information across our networks and professional groups.
Your attention to detail will enable you to monitor team spend and update the budget. You will have experience of raising purchase orders for goods and services. Additionally, you will also manage the procurement process for the Team in accordance with the NHS Wales Procurement Policy, maintaining records and answering queries.
Your planning and organising skills will extend to the provision of extensive support with the planning, organisation and delivery of a range of virtual and in-person events including conferences, masterclasses, workshops and webinars. You will arrange appropriate events communication, co-ordinate the booking system, book speakers and venues, ensure that all technological requirements are identified and managed, create evaluation forms, collate and record feedback.
We are also looking for an individual who can identify improvements to our working practices and drive innovation across the team, utilising a range of digital resources including AI to support business transformation.
