Job summary

Hokben Performance and Business Operations Services is seeking a Scheduling and Planning Coordinator to support workforce scheduling, operational planning, and day-to-day resource coordination across the business. The role is suited to someone highly organised, comfortable with schedules and data, and capable of balancing changing priorities in a fast-moving environment.

You will work closely with operational teams to maintain accurate schedules, monitor staffing and workload requirements,

Qualifications

• Experience in scheduling, workforce planning, or operations coordination.
• Strong ability to organise schedules and manage priorities.
• Comfortable working with spreadsheets and planning data.
• Clear written and verbal communication with stakeholders.

Responsibilities

• Prepare and maintain daily, weekly, and monthly operational schedules.
• Coordinate staff availability, shift requirements, workload forecasts, and planned activities.
• Update schedules when priorities or staffing levels change.
• Monitor coverage levels and identify scheduling gaps or conflicts.
• Work with team leaders to coordinate changes and resolve issues.
• Maintain planning records, staffing trackers, and scheduling docs.
• Assist with forecasting workload and resource requirements using data.
• Produce routine reports on schedule performance and utilization.
• Communicate schedule updates to relevant teams.
• Support annual leave, absence, and training planning processes.
• Ensure scheduling information is updated across systems.
• Assist with improving scheduling processes and efficiency.
• Support wider workforce planning and coordination activities.
