What does the day of a Strategic Change Assistant look like?

We are seeking a proactive and technically capable Project Assistant to support the successful delivery of a strategic change initiative — the implementation of an electronic rostering system across the organisation. This role will provide essential project support, coordination, and hands-on involvement in planning, configuring, testing, training, and go-live activities.

You will work closely with the Project Lead and key stakeholders across HR, Operations, IT, and vendor teams to ensure milestones are met and the transition is smooth, efficient, and fit for purpose.

  • Support the Project Lead with day-to-day project coordination, including scheduling meetings, managing action logs, and tracking progress against the implementation plan.
  • Assist with system configuration, testing, and data preparation
  • Liaise with internal departments to gather user requirements, support communications, and coordinate training delivery.
  • Maintain accurate and up-to-date project documentation, minutes, and reports.
  • Monitor project timelines and help flag risks, delays, or issues requiring escalation.
  • Participate in testing and help ensure defects are logged, tracked, and resolved.
  • Support stakeholder engagement and change management activities, including drafting user guides and onboarding materials.
  • Help ensure a smooth handover to business-as-usual teams post-implementation.
