An outdoor events management company in London is seeking a part-time Staffing & Logistics Manager to oversee recruitment and management of operations staff for events. You will ensure all events are staffed appropriately and that logistics are well-coordinated. The ideal candidate will have a passion for the outdoors, excellent organizational skills, and prior experience in managing teams. We’re looking for someone who loves meeting new people and building great relationships, to help us grow our amazing team of operations staff working on our exciting outdoor events. As Staffing & Logistics Manager, you will be responsible for the recruitment and management of our Operations Crew at our events.
You will be responsible for ensuring that all of our live events are staffed with operations crew that are sufficiently experienced and that share our values. This will include overseeing and managing our staffing platform. You will inspire our operations crew to represent our values in their ways of working, and you will play a major part in ensuring our crew feel supported and sufficiently trained and that they love working for our team.
The role will also involve management of our vehicle logistics across all events and management of our kit and storage unit near Peterborough, ensuring all events have the correct vehicles and drivers, and that all kit is readily available for each event.
• The role will be hybrid, in-person days in London once every 2 weeks, with option for more.
• There will be various days needed at our storage unit near Peterborough across the year.
• There may be the opportunity to work at events from time to time for different charity clients, including trek, running, walking and obstacle racing.
Key Accountabilities :
Developing strong relationships with freelance operations staff, ensuring they are well briefed, trained and managed for our individual events.
• Implement regular check ins and feedback sessions to address any challenges and improve working practices
• Supporting the Head of Impact & Culture to deliver on our Company goal of a Joyful Team Culture, taking into consideration operations crew compensation, wellbeing, training and support and creating a fun and collaborative team environment.
• Onboarding and building a network of new freelance operations staff to work at GE events
• Manage staffing & vehicle schedule of over 40 events annually, ensuring all events are resourced appropriately.
• Overseeing all fleet and rental vehicles, ensuring insurance, MOTs, services and repairs are dealt with efficiently.
• Managing all vehicle accounts, including ULEZ, congestion charges, fuel cards and other fees.
• Creating processes for a seamless organisation of our storage units including deliveries, kit storage & maintenance, resourcing and budgeting.
• Onboarding and building a network of new freelance operations staff to work at GE events
• Role may include line management of one to two team members
• Keeping budgets updated as required.
• Contributing to Company creative ideation and innovation sessions
• Contributing towards improving our social and environmental impact, to continually improve on our performance as a Certified B Corp.
• Being an advocate of our Company values and mission, ensuring our suppliers, staff, clients and volunteers are inspired and motivated to join us in our efforts.
• The role holder must be comfortable working both independently and as part of a larger events team.
• The ideal candidate will be genuinely excited by the opportunity of having an impact on exciting outdoor challenge events with a positive purpose and will be motivated by working in a small and expanding business.
• Typical working hours are 22.5 hours per week over 5 days.
Skills
• Excellent planning & organisation skills, including project planning, time management and prioritising tasks.
• Exceptional attention to detail, ensuring thoroughness in all tasks to deliver a high quality of work
• Good knowledge of Microsoft Office, particularly Word, Excel and Outlook
• Excellent written and verbal communication skills
• Have the ability to problem solve and react dynamically
• Be willing to drive a variety of vehicles including Company vans, ATV and 4x4 vehicles.
• Full UK Driver’s Licence

Role Location: London / Hybrid. One day bi-weekly to be spent at our London office.
Salary: £30,000 - £35,000 pro rata depending on experience
Type of Role: This is a part-time position (22.5 hours per week, Monday to Friday), offered on a 12-month fixed-term contract.
